Overview of imported and to be imported bank statements

Introduction
Cash flow entries can be entered manually or automatically by importing the relevant bank statement (on which the bank confirms all payment and receipts in your bank account). Entering the bank statements manually might generate errors. An alternate method is to import the electronic bank statements. These electronic files include the bank transactions. Importing of electronic bank statements is integrated with other modules in Exact Globe. Immediately after the import is finished, the financial transaction is created and the information is available at once.
The success of the matching rate relies heavily on the allocation rate when the bank statement is imported. During bank import, the system triggers allocation of debtor/creditor by searching for the offset bank account in the debtor/creditor maintenance. If the allocation fails, the matching will not be carried out. Therefore, manual allocation and matching are required for transactions that have not been allocated.
What version are you using?
The information in this document is applicable to product update 415 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I view the bank statements to be imported or have been imported?
- At Statement date, define the statement date or range of dates.
- To view bank statements that have been imported, define the date or range of dates of the import at Date import.
- Click Search.
Fields
Previous
Click this to return to the previous display of results.
Next
Click this to display the next results.
Rows
Type the number of rows to be displayed in each screen. If you have set the default number of rows to 10, then 10 rows will be displayed. Therefore, if you have more than 10 rows listed, the Previous and Next buttons become available.
Selection for imported files section
Statement date
Type or select the range of statement dates or select the All check box for all statement dates. By default, the All check box is selected.
Date import
Type or select the range of import dates or select the All check box for all import dates. By default, the All check box is selected.
Bank account
Type or select the bank account that is specific to the bank statements you want to view or import.
Buttons
Log
Click this to display the Data log: Bank statement import screen, which provides an overview of log information of all the bank statement import processes that have been performed.
Note: This is available only if the Data log: Bank statement import check box is selected
in the General section at System ➔ General ➔ Settings, under Bank settings.
Refresh
Click this to display the search results according to the defined criteria. At the same time, the system will search in your “Import directory” (that you have defined
in the General section at System ➔ General ➔ Settings, under Bank settings) and all its subdirectories for bank statement files to be imported.
Once all subdirectories have been scanned, the results will list all the bank
statement files with the New status that are ready to be imported. The bank name, file name, and date for each bank statement file
will be displayed.
Search
Click this to import a bank statement file from another directory (if the import application did not find the file in the “Import directory” as explained above). After selecting the file, you have to specify the cash instrument. The Bank import screen will then be displayed where you can select the speed for matching during bank import. You can choose from Low speed or High speed. The bank statement will be imported once you click Select in the Bank import screen. Once import is completed, the message "Import file: completed" will be displayed. Click OK and the imported file will be displayed in the results section with the Imported status. The bank statement file from this directory will not be deleted after the import.
Import
Click this to import the selected bank statement file with the New status. The Bank import screen will then be displayed where you can select the speed for matching during bank import. You can choose from Low speed or High speed. The bank statement will be imported once you click Select in the Bank import screen. Once import is completed, the message "Import file: completed" will be displayed. Click OK and the imported file
will be displayed in the results section with its status changed from New to Imported. The bank statement file from this directory will be deleted after import.
Note: The names of the files to be imported should be different. If you import a file with the same name as a file that has previously been imported successfully, a message will be prompted to indicate that the file has already been processed. In this case, rename the file before performing the import process.
Extra matching
Click this to display the Extra matching criteria screen. For more information, see Selecting extra matching criteria.
Note: This is available only if the Extra matching check box is
selected in the General section at System ➔ General ➔ Settings, under Bank settings.
Analysis
Click this to display the Import analysis screen. The import file will be scanned to show information about the contents of the file, such as the bank account number(s), statement number(s), the total debit amount and total credit amount, the number of cash flow transactions per statement, the file name, and others. It allows you to compare the bank statement in the database with the actual bank statement.
Note: This is activated only when imported entries are selected. In this screen, you can perform the repair function by using the Repair button.
Delete
Click this to delete the selected bank statement file.
Note: This is enabled only when you have selected entries that are not of the Imported status.
Open
Click this to open the selected bank statement in Notepad.
Close
Click this to exit.
