Introduction
This page allows you to view a list of vacancies by employment status, employment dates, and dates of which the applicant search begins and ends. You can also create a vacancy entry from this page.
Roles and rights
To view the list of vacancies, function right 158 — View resources reports is required. By default, users with the General manager, HR, or HR assistant role have this function right.

What version are you using?
The information in this document is applicable to product update 259 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I view the list of vacancies?
- Define the criteria under the Criteria section.
- Click Show.
How do I create vacancy entries?
- Click New. The Vacancy - New page will be displayed.
- Fill in the required information.
- Click Save.
Keep in mind: All fields with the “!” icon are mandatory.
Buttons
Close
Click this to exit.
Show
Click this to display the results according to the defined criteria.
Note: Once you have clicked this button, the name of the button will change to Refresh.
Refresh
Click this to update the results according to the defined criteria.
Reset
Click this to clear all the defined criteria so that you can start a new search.
New
Click this to create a vacancy entry. For more information, see Creating and modifying vacancies.
Icon
Customise
Click Customise at the title bar to customize the fields or sections. You can add or remove existing criteria based on your preferences by selecting or clearing the relevant check boxes. Click Save to save the settings and exit, Default to reset your selections to the default settings, or Close to exit without saving. Take note of the following sections/fields:
Columns section
You can add or remove columns based on the information you want to view. You can arrange the order of the columns by clicking the Up or Down buttons.
Criteria section
You can add or remove the fields for the report by selecting the relevant check boxes.
Fields
Criteria section
Division
Type or select the required option to display the vacancies in the specific division. Once you have selected a division, you can view the details of the division by clicking the name of the division displayed next to the box. For more information, see Viewing division cards.
Cost center group
Type or select the required option to display the vacancies in the specific cost center group.
Cost centre
Type or select the required option to display the vacancies in the specific cost center. Once you have selected a cost center, you can view the details of the cost center by clicking the name of the cost center displayed next to the box. For more information, see Creating and modifying cost centers.
Status
Select the Active, Inactive, To be approved, Fulfilled, Rejected, and/or Future check boxes to display the vacancies with the respective statuses.
Created date
Type or select a date or range of dates to display vacancies created on this date or within this range of dates.
Start date
Type or select the start date from which the vacancy is available.
End date
Type or select the end date of the vacancy.
Fulfillment date
Type or select the fulfillment date of the vacancy. This fulfillment date refers to the date when the search for the applicants begins.
Fulfillment end date
Type or select the fulfillment end date of the vacancy. This fulfillment end date refers to the date when the search for applicants ends.
Vacancy type
Select the required option to display the vacancies with the selected vacancy type:
- Internal — Select this to display only vacancies belonging to your organization.
- External — Select this to display only vacancies belonging to the organizations of your customers. The Customer field will be displayed if this option is selected.
- Both — Select this to display both the internal and external vacancies. The Customer field will be displayed if this option is selected.
Note: This is available only if you have selected the Customer: Vacancy check box in the general or division settings. For more information, see Defining HRM general settings or Creating and modifying divisions.
Group by
Select the required option to group the results by Group, Division, Cost center group, Cost centre, Contractual location, Physical location, Job title, Manager, or Status. You can select up to three options at any one time.
Customer
Type or select the customer code to display the vacancies created for the selected customer.
Note: This is available only if you have selected the Customer: Vacancy check box in the general or division settings. For more information, see Defining HRM general settings or Creating and modifying divisions.
Columns
The vacancies are listed by divisions. You can view the vacancy card by clicking on the respective IDs under the ID column. For more information, see Viewing vacancy cards.
You can also view the job title of the vacancy, the contractual location, start date, vacancy type, and other information of the vacancy by customizing the fields and/or columns to be displayed in the report. Clicking the link with the ID and name under the Job title column will show the details of the manager who will manage the person hired for the vacancy.
The total number of applicants who are linked to the respective main vacancy and child vacancies, if available, will be displayed under the Applicants column.
Clicking the icon under the Reference column will lead you to the Attachment section in the respective vacancy card. For more information, see Viewing vacancy cards.
