The Extra matching criteria screen is displayed when you click the Extra matching button in the Cash flow > Entries > Import or Cash instruments screen. This screen allows you to define the matching criteria.
The information in this document is applicable to product update 503 and higher. If your version is lower than this, certain features explained here will not be applicable.
Go to Cash flow > Entries > Import and click Extra matching. Alternatively, go to Cash flow > Cash instruments > Maintain, select a cash instrument, click Open, click the Settings tab, and then click Extra matching under the File directories section.
In the Extra matching screen, select a bank.
Click Open.
Select the check box(es).
Click OK.
Keep in mind: You can view the Extra criteria matching screen only if you have selected the Extra matching check box in the General section at System > General > Settings > Bank settings.
This displays the selected bank name. This field is pre-filled.
This displays the bank format name. This field is pre-filled.
This displays the country the bank is located in. This field is pre-filled.
Type a delimiter where the maximum is two characters. This is used to separate descriptions into several useful data. If you type "<space>;" then Single spacing will be displayed next to the Delimiter field to notify you that a space has been defined for the delimiter. If you type "<space><space>" instead, Double spacing will be displayed. If you type "XX", there will not be any wordings next to the Delimiter field. This field is mandatory.
Select the options to define the position of the matching criteria. The first field is to define matching criteria one, the second field for matching criteria two, and the third field for matching criteria three. The options available for the first field are Invoice number, Debtor number, and Invoice amount.
Once you have selected the first option, only the other two unused options will be available for the second field. Once you have selected an option for the second field, the last unused option will be available for the third field. For example, if you select Invoice number as matching criteria one, this will no longer be available as an option for matching criteria two or three. If you then select Debtor number as matching criteria two, you can only select the final option, which is Invoice amount as matching criteria three. Alternatively, leave it blank. These options are enabled only after you have typed the delimiter.
Note: The arrangement structure of the payment reference segment in the bank statement is aligned with the settings defined. For example, InvoiceNumber1;Debtor1<space>InvoiceNumber2;Debtor2<space>…<space>InvoiceNumberN;DebtorN if the following have been defined:
This section displays check boxes for Run: 1 until Run: 11. By default, Run: 1 to Run: 10 matching criteria are selected. You can define the matching criteria for the bank import file for the automatic matching with invoices. The import process will be faster if you select fewer criteria. You should select the most common criteria suitable to speed up the bank import process based on your practice.
If you select the Run 11: Write-off discount check box, the write-off discount process will be displayed in the bank import summary section at Cash flow > Entries > Import. If the receipt matches the sales invoice and the settlement discount is within the payment date of the discount term, the discount term will be written off automatically if the sales invoice is fully paid. This check box is not selected by default.
