How-to: Calculating work days and hours for partial absence requests

Introduction

Partial absence is registered when an employee returns to work on a part-time basis during his sick leave. This document provides an example of a scenario and details on how the employee's work days and hours are calculated when using different modes of work schedule.

Note that calculation will only be performed if the Calculate check box for the Duration field is selected. To do so, go to Workflow à Setup à Requests à Request types, click the sick request, and go to the Fields tab. Then, click Duration and select the Calculate check box in the Calculation section.

 

Description

Let’s take a look at the following scenario:

Jackson sprained his shoulder and reported sick on 9 November, 2010. On that day, he was on a full day sick leave. The following schedule displays the return to work requests recorded for Jackson, with an assumption that 17 November, 2010, is a public holiday:

The following shows how the work hours and days are calculated based on the normal work schedule:

 

* The values under the Total work days column are calculated using the following formula:

Total work hours divided by Total work hours per day

Note:

  • From the example, when the Return to work D request is created with 100% filled in the Returned to work (%) field and you have moved the request to the next stage, the end date of the sick request will automatically be filled in using the formula:

    Date at Transaction date in the latest return to work request – 1 day

    Hence, the end date filled in the sick request will be "24/11/2010".

  • The work hours and days for the Return to work D request is not taken into consideration for the calculation because Jackson returned to work 100% on 25 November, 2010.

* The values under the Work day (%) column are calculated using the following formula:

Total work hours per day divided by Work hours per day

# The values under the Total work days column are calculated by:

Adding the values under the Work day (%) column for each respective return to work request

Note:

  • From the example, when the Return to work D request is created with 100% filled in the Returned to work (%) field and you have moved the request to the next stage, the end date of the sick request will automatically be filled in using the formula:
