Product Update 243: Business Users Able to Participate in Requests and Obtain Overviews of Requests Linked to Customers

Introduction

For better engagement with customers, a Business user needs to closely monitor and participate in activities which involve the customers. The ability to participate in the process flows of a request, especially those that are related to the customers, will greatly enhance the efficiency of a Business user. In this implementation, you can assign roles to Business users. With the assigned roles, a Business user can perform the following activities:

  • Participate in various steps in the process flow of a request. You can conveniently assign the role for each step to a group of people with a certain role instead of individuals.
  • Edit documents with the required role for editing. To ensure that the users can still edit the documents without the required role, you can assign the ownership of a document to a Business user.

The viewing rights of Business users to requests via various locations is determined by the request types defined at HRM General settings and the criteria defined for the relevant process flows in the request types. In addition to that, the viewing rights of Business users to requests via account cards are determined by the security levels assigned to the users only. As a result, Business users like account managers will be able to obtain an overview of all requests linked to the accounts that they manage.

What has been changed

  • The Add button is added to the Roles section of Business user profiles. With this button, you can assign roles to the corresponding Business users. For more information, see Viewing Employee Profiles. The change is shown in the following screen:
  • Business user can only perform the following activities with the assigned roles, regardless of the function rights attached to the roles:
    • The Business user can participate in various steps in the process flow of a request, from creation and modification to approval, realization, processing, reopening completed requests, and deletion steps, provided the requests are created using the request types defined for Business users at HRM settings. For more information, see the Employee self-service portal and Business User portal sections of Defining HRM General Settings.
    • Correspondingly, the message “This request will not be accessible to the person that is intended to take the next action because of that person’s access rights” will be displayed if you create a request that is not defined for Business users.
    • If the editing rights for a document are assigned to a specifc role, Business users with the corresponding role can edit the document. For more information, see Edit: Rights and Role in the Header section of Creating and Modifying Documents.
  • You can assign the ownership of a document to a Business user. For more information, see Edit: Rights and Owner in the Header section of Creating and Modifying Documents. Correspondingly, Business users without the required role can still edit documents that they did not create as long as they have the ownership of the documents.
  • Business users can view requests linked to accounts via the Workflow hyperlink in the Monitor section of the corresponding account cards if the security levels assigned to the users are the same or higher than the security levels assigned for the corresponding request. For more information, see Details on Security Levels.
    The latest requests that will be displayed in the Request section and in the overview of requests accessed via the Workflow button of the same account card will be synchronized. The following is a sample screen to depict the similar top three requests from both locations.
