Product Update 243 - Notification of Change Available in Workflow

Introduction

The workflow functionality allows you to keep track of all your work. It has a list of tasks that is pending your action. In this enhancement, an extended functionality has been added for all users with access to the request. This new function gives users full control of created requests when subscribed to the notification functionality.

Menu path

To create a request, go to one of these menu paths:

  • Workflow/Entry/Requests/Requests: New.
  • Click New in the left menu or toolbar and select Request in the Entities section.
  • Click Workflow in the left menu and then click New in the Workflow page.
  • Click Requests in the left menu and then click New in the Requests page.
  • Open an existing request and click Copy.
  • Open an existing document or project card and click Request.
  • Open existing contact card and click New: Request.
  • Open an existing resource, item, serial number, or account card, and click Workflow in the Monitor section. Then, click New in the Workflow page.

What has been changed

  • An  ALT-Z-Notify me about changes to this request icon has been added to all request types. Click  to subscribe to the notification functionality. However, there will be no confirmation message displayed. See the following sample screen:

  • Once you have subscribed to the notification, you cannot unsubscribe from it.
  • With the subscribed notification, you are in control and are able to monitor only requests that belong to Workflow under the Involvement field at the Criteria section of the Workflow and Request overview screens. All request types and requests will be grouped under the same listing for easier notification.
  • When a notification is sent to the workflow, it can be easily viewed as Check under the Action column at the Results section. The Check action will be displayed only for the workflow and not for request search or request pivot analysis.
  • Under the Description column, an additional header “Notification of change:” will be added followed by the description. It will be displayed in Bold and in Italic.
  • At the Result section column header, the Remove header is removed and no longer has a header. Under this column, the  icon is replaced with  icon.

  • When you place your mouse pointer on the  icon, a message “Remove this request from my workflow” is displayed. When you click it, the following screen is displayed. Click OK to remove request from your workflow or Cancel to abort the process. 

     
  • When the request is removed from the workflow and further changes are made, a new notification is sent to your workflow. If the request is not removed but changes have been made, the new changes are updated in the notification. The notification will be deleted if the request is deleted.
