Overview of sales order history report

Introduction

This screen provides an overview of all the completed and incomplete sales orders, and sales orders that have been fulfilled. From the overview, you can also:

  • view and/or edit the notes of the sales orders
  • view the documents attached to the sales orders
  • view the logbook of the sales orders
  • view and/or edit the invoices of the sales order
  • copy the selected sales order, or
  • view and/or edit the sales orders.

Fields

You can filter the sales orders that you want to display by defining your search criteria and clicking Search. The sales orders that match the search criteria you have defined are then displayed. A list of options appears if you click  in the Sales order, Ordered by, Classificaion, and other fields. From the list, make your selection and click Select.

Note: It is possible that not all the columns in the example are displayed. You can add or delete columns as required. For more information, see Inserting and deleting columns.

Search

Click this to display the sales orders based on the defined criteria.

Clear

Click this to clear the defined criteria.

Number of rows

Type the number of rows to be displayed for each page. If you have set the default number of rows to 10, then 10 rows will be displayed. Therefore, if you have more than 10 rows listed, you will see the Previous and Next buttons.

Previous

Click this to return to the previous page of entries.

Next

Click this to display the next page of entries.

Warehouse

Select the warehouse to display sales orders with the selected warehouse. You can also select All to display sales orders with any warehouses.

Note: This field is available only if you have e-Warehouse management in your license.

Sales order

Type or select the sales order number to be displayed.

Note: This field is available only if the SO history option is selected.

Del. note

This refers to the delivery note of the sales order. Type or select the delivery note number to be displayed.

Note: This field is available only if the Fulfilled option is selected.

SO date

This refers to the sales order date of the sales orders. Type or select the start date and end date to display sales orders that were created within that period. You can also select the All check box to disply sales orders with any sales order date. By default, the All check box is selected.

Note: Typing or selecting only the start date will display sales orders that were created on and after the selected date. Typing or selecting only the end date will display sales orders that were created on and before the selected date. This field is available only if the SO history option is selected.

Fulf. date

This refers to the fulfillment date of the sales orders. Type or select the start date and end date to display delivery notes of the sales orders that were fulfilled within that period. You can also select the All check box to display sales orders with any fulfillment date. By default, the All check box is selected.

Note: Typing or selecting only the start date will display delivery notes of the sales orders that were fulfilled on and after the selected date. Typing or selecting only the end date will display delivery notes of the sales orders that were fulfilled on and before the selected date. This field is available only if the Fulfilled option is selected.

Ordered by

Type or select the ID or name of the debtor who placed the sales order to display sales orders with the selected ordered by debtor. You can also leave this field empty to display sales orders with any ordered by debtor.

Classification (for ordered by debtor)

Type or select the classification of the debtor who placed the sales order to display sales orders with the selected classification. You can also leave this field empty to display sales orders with any classification.

Note: The classification of the ordered by debtor depends on the Classification defined  at the debtor maintenance (go to Finance ➔ Accounts receivable ➔ Maintain, select the relevant debtor, and then click Open), under the Basics tab. You can also define classifications at System ➔ General ➔ CRM ➔ Classifications.

Delivery to

Type or select the ID or name of the debtor who will receive the orders to display sales orders with the selected delivery to debtor. You can also leave this field empty to display sales orders with any delivery to debtor.

Classification (for delivery to debtor)

Type or select the classification of the debtor who will receive the orders to display sales orders with the selected classification. You can also leave this field empty to display sales orders with any classification.

Note: The classification of the delivery to debtor depends on the Classification defined  at the debtor maintenance (go to Finance ➔ Accounts receivable ➔ Maintain, select the relevant debtor, and then click Open), under the Basics tab. You can also define classifications at System ➔ General ➔ CRM ➔ Classifications.

Invoice to

Type or select the ID or name of the debtor who will be receiving the invoice to display sales orders with the selected invoice to debtor. You can also leave this field empty to display sales orders with any invoice to debtor. 

Classification (for invoice to debtor)

Type or select the classification of the invoice debtor(s) of the sales orders to be displayed.

Note: The classification of the invoice to debtor depends on the Classification defined  at the debtor maintenance (go to Finance ➔ Accounts receivable ➔ Maintain, select the relevant debtor, and then click Open), under the Basics tab. You can also define classifications at System ➔ General ➔ CRM ➔ Classifications.

Advanced/Simple

Click Advanced to expand the search criteria. You will see Selection code, Your ref., Representative, Completed or Order, and Description.

Click Simple to hide the search criteria.

Selection code

Type or select the selection code of the sales order to display sales orders with the selected selection code.

Note: The selection code of the sales orders depends on the Selection code defined in the conditions screen (go to Order ➔ Entries ➔ Sales orders, select the relevant sales order, click Open, and then click Conditions), under the Analytical group section. You can also define selection codes at System ➔ Logistics ➔ Selection codes.

Completed

You can select the type of the sales orders to be displayed. Select any of the following:

  • All -- Select this to display sales orders with any status. 
  • Yes -- Select this to display all the completed sales orders
  • No -- Select this to display all the incomplete sales orders.

Note: This field is available only if the SO history option is selected.

Order

Type or select the sales order number to display sales orders with the selected sales order number. You can also leave this field empty to display sales orders with any sales order number.

Note: This field is available only if the Fulfilled option is selected.

Your ref.

Type the debtor’s reference number to display sales orders with the selected reference number. You can also leave this field empty to display sales orders with any reference number.

Description

Type a description or part of it to search for the sales order. You can also leave this field empty to display sales orders with any description.

Representative

Type or select the ID or name of the representative who is in-charged of the sales order to display sales orders with the selected representative. You can also leave this field empty to display sales orders with any representative.

SO history

Select this to display the created sales orders.

Fulfilled

Select this to display the delivery notes of the sales orders (sales orders that are fulfilled).

Buttons

Note

Click this to view and/or edit the note of the sales order. For more information, see Creating and maintaining notes.

Attachment

Click this to view the documents that are attached to the sales order. For more information, see Overview of attached documents.

Logbook

Click this to view the changes that have been made to the sales order.

Note: This button is available only if you have selected the Logbook check box at System ➔ General ➔ Settings, in Order settings under the Entry section.

Invoice

Click this to view and/or edit the invoice of the sales order. For more information, see Creating and maintaining sales invoices.

Print

Click this to view the delivery note.

Note: This button is enabled only if the Fulfilled option is selected.

Copy

Select this to copy the sales order to a new sales order. For more information, see Copying sales orders.

Open

Click this to view or edit the sales order if the SO history option is selected, or to view the fulfilled items of the sales order if the Fulfilled option is selected. For more information, see Viewing delivery notes.

Close

Click this to exit.
