Assigning Role or Deleting Role from Members

Introduction

It is possible to assign a specific role to multiple people in your company. With this functionality, you can save time as you do not need to link a role to an individual and repeat the process for every other member whom you want to assign the same role. Apart from this, you can also delete the link of multiple members from an assigned role.

Menu path

Go to System/Setup/Security/Roles, click the number of members linked to a role under the Members column. Next, click Assign to assign the role to one person or more or Delete to delete the role from one person or more.

Roles & rights

To assign or delete a role from multiple members, function right 176Maintain role members, 333 – Maintain role members division level, or 334Maintain role members – group level is required. By default, users with the HR role have these function rights.

For more details on what you can do with function rights or levels, go to System/Setup/Security/Function rights, select the required module, and then click on the relevant ID. To find out the functions you can perform with a particular role, go to System/Setup/Security/Roles, type in the description, click Refresh, and then click the required link under the Role column.

Button

Save

Click this to save the assignment of the role to the selected members.

Note: You will see this button if you go to System/Setup/Security/Roles, click the number of members linked to a role under the Members column. Next, click Assign.

Refresh

Click this to refresh the results of the available members for assignment or deletion of the role based on the defined criteria.

Delete

Click this to delete the role from the selected members.

Note: You will see this button if you go to System/Setup/Security/Roles, click the number of members linked to a role under the Members column. Next, click Delete.

Close

Click this to exit.

Description

Criteria section

Division

Type or select the division to assign or delete the role for people belonging to this division. For more information, see Overview of Divisions.

Cost center

Type or select the cost center to assign or delete the role for people belonging to this cost center. For more information, see Overview of Cost Centers.

Person

Type or select the person to assign or delete the role for this person. Available options depend on the people you have created in the system. For more information, see Creating and Modifying Entries for People.

Job group

Type or select the job group to assign or delete the role for people of this job group. For more information, see Overview of Job Groups.

Type

Select the types of people to assign or delete the role for people of the selected types. By default, the Employee type is selected and you cannot clear the check box.

Status

Select the status to assign or delete the role for people with the selected statuses. By default, the Active status is selected and you cannot clear the check box.

Security level

Type the security level to assign or delete the role to people with this security level.

Assign/Criteria section

You will see the Assign section if you want to assign a role or the Criteria section if you want to delete a role from the selected members.

Level

Select the role level to assign or delete the role of the selected level to or from multiple members. Role levels determine if a member is allowed to perform the task according to the function rights that is linked to the role at different levels of the organization chart. There are five options available:

  • Corporate
  • Group
  • Division
  • Cost center group
  • Cost center

Results section

This section displays all the people whom you can assign or delete the role based on the defined criteria. If you want to assign the role, the system will automatically check for people who currently do not have the role. If you want to delete a role from the person, the system will automatically check for people who have been given the specific role.

To assign a role to multiple members, select the check box of the people and then click Save. You can select the check box on the first column header to assign the role to all the available people.

To delete a role from multiple members, select the check box of the people and then click Delete. You can select the check box on the first column header to delete the role from all the available people.
