Introduction

This page shows your personal workspace. Your workspace can be customized to only show information you have selected. Each information is presented by a widget. Hence, you can add, edit, and remove the widgets from your workspace.

By default, the following widgets are displayed in the workspace:

  • Me
  • Workflow
  • Exact.com — Clicking this will redirect you to the “www.exact.com” website.
  • Task — Clicking this will redirect you to the new mode of the Task request type.
  • Vacation — By default, clicking this will redirect you to the new mode of the Vacation request type. If you have defined a different request type at the Request type field at Modules ➔ HRM ➔ Setup ➔ General ➔ Setting, clicking this will redirect you to the new mode of the request type defined.
  • LinkedIn — Clicking this will redirect you to the log in page for LinkedIn.

Also, you have the option to display other entities such as News, Workflow, or Document directly as the default workspace. For more information, see the Main workspace section under the General tab at Customizing Exact Synergy Enterprise.

Keep in mind: If you have set other entities as the default workspace prior to the customization, make sure you reinstate the setting in order to access the workspace from the menu.

Roles and rights

All users with the Professional, CRM, or Employee self-service role are able to access this page. However, not all features related to workspaces are available to users with the Employee self-service role. Selected users can edit, view, or use the workspace as a template to create a workspace. However, the user will need the Company Workspace Manager role to edit the company workspaces.

This page is also available for resellers, suppliers, and customers.

What version are you using?

The information in this document is applicable to product update 257 and higher. If you have versions lower than this, certain features explained here will not be applicable.

How do I rearrange widgets on the workspace?

  1. On the workspace, drag and drop the widgets to the appropriate location. The changes will automatically be saved.

How do I add widgets to the workspace?

  1. On the workspace, click  Add widget. The Widgets page will be displayed.
  2. Click the appropriate tab on the left, and then click on the relevant widget to add it to the workspace. The Add: [Name of the widget] page will be displayed. For example, if you have added the Calendar widget, the Add: Calendar page will be displayed.
  3. Define the properties and layout settings, if required, and then click Save.

How do I configure widgets on the workspace?

  1. On the workspace, hover your mouse over the widget.
  2. Click .
  3. Define the properties and/or layout settings.
  4. Click Save.

How do I resize widgets on the workspace?

  1. On the workspace, hover your mouse over the widget.
  2. Click at the bottom of the required widget.
  3. Drag the widget to the required size. The changes will automatically be saved.

How do I remove widgets from the workspace?

  1. On the workspace, hover your mouse over the widget.
  2. Click . The Edit: [Name of the widget] page will be displayed. For example, if you are editing the Calendar widget, the Edit: Calendar page will be displayed.
  3. Click Delete. The message “Are you sure you want to delete this widget?” will be displayed.
  4. Click Yes to remove the widget from the workspace.

How do I share the workspace with other people?

  1. On the workspace, hover your mouse over the header of the workspace.
  2. Click Edit or Share. The Information panel will be displayed on the right.
  3. In the Sharing section, click Add. The Sharing: Workspace page will be displayed.
  4. Select one of the options available on the left to indicate if you want to share the workspace based on person, project, role, division, et cetera.
  5. On the available field(s) on the right, select the relevant person, project, role, division, job group, job title, cost centre, cost centre group, or account with whom you want to share the workspace.
  6. Then, specify the right to be given.
  7. Click Add. The Sharing: Workspace page will be automatically closed. The person or people with whom you have shared the workspace will be displayed in the table at the Information panel.
  8. Click Save at the header. If the Can view or Can edit right is given to at least one person, proceed to step 9.
  9. Click Check in to allow the person or people with whom you have shared the workspace to edit the workspace. The "Check in workspace?" message will be displayed.
  10. Click Yes.

Keep in mind:

  • The Check in button is available if the Can view or Can edit right is given to at least one person at step 6. When the person who is currently editing the workspace clicks Check in (at step 9), the workspace will then be in the check in mode. This allows other people with the Can edit right to edit the workspace. The check in and check out modes apply to prevent the workspace from being edited by more than one person at the same time.

How do I remove the sharing of the workspace with other people?

  1. On the workspace, hover your mouse over the header of the workspace.
  2. Click Edit or Share. The Information panel will be displayed on the right.
  3. In the Sharing section, click next to the respective person whom you want to remove the sharing. The person will be removed from the table.
  4. Click Save at the header.
  5. Click Check in. The "Check in workspace?" message will be displayed.
  6. Click Yes.

Keep in mind:

  • The Check in button is available (at step 5) if there is at least one person (not including the creator of the workspace) with the Can view or Can edit right.
  • You can only remove the sharing right from a person if you are the creator of the workspace, or have the Can edit right for the workspace.
  • You can remove the sharing rights from everyone at one time by clicking Stop all.

How do I use the workspace as a template to create another workspace?

  1. On the workspace, hover your mouse over the header of the workspace.
  2. Click Copy template & create a new workspace. The same workspace will be displayed, with the workspace area in grey.
  3. At the header in the field, type the name of the workspace. By default, the name of the workspace which you are using as a template will be filled.
  4. Select the Set as default check box to use the workspace as the default workspace every time you log in to Exact Synergy Enterprise.
  5. At the Information panel on the right at Description, type a description for the workspace.
  6. Click Add to to share the workspace with other people. This step is not required if you do not want to share the workspace with anyone
  7. Click Save. The newly-created workspace will then be displayed.

How do I add Link widgets to the workspace?

  1. On the workspace, hover your mouse over the header of the workspace.
  2. Click Add a Link widget to workspace. The Add: Add a Link widget to workspace page will be displayed.
  3. At Add to, select the workspace to which you want to add the Link widget.
  4. Type the title and description of the workspace at Title and Description respectively.
  5. At URL, type the hyperlink of the page to which you want to add to the workspace. By default, the hyperlink of the current page that you are viewing will be filled.
  6. Define other property and layout settings, if required.
  7. Click Save.

How do I delete workspaces?

  1. On the workspace, hover your mouse over the header of the workspace.
  2. Click Edit or Share.
  3. Click Delete. The message “Are you sure you want to delete this workspace? This action can't be undone.” will be displayed.
  4. Click Yes to confirm the deletion.

Keep in mind: You cannot delete a workspace that you have set as default, or if the creator of the workspace is using it as the default workspace.
