Via roles and rights you are able to secure the personal data and determine which users are allowed to view this personal data.
In Exact Globe you can create security roles via System ? HR & Security ? Security roles ? Maintain. In these roles you can define which functions and menu's can be accessed by someone with this role. By assigning these roles to people, you determine which people are allowed to access the functions and menu's that are defined in the role. For more information, see Creating and maintaining roles.
In Exact Synergy function rights determine which specific rights someone has. These function rights can be linked to roles that can be assigned to the different users. Function rights can viewed and created at Modules ? System ? Setup ? Security ? Function rights, Roles can be created at Modules ? System ? Setup ? Security ? Roles. Further has Exact Synergy the possibility to shield specific employee fields with function rights when viewing person cards and when searching for person information. From product update 415SP6 and 260SP6 onwards new functionality for the General Data Protection Regulation has been introduced. This functionality enables you to create a personal data classification and link this to your master data of the persons (contacts, accounts, resources). In these classifications you can define information about the relevant type/categories in your company, define an event when it is not needed anymore to have an entity in your system (e.g. a lead is not promoted to suspect, an applicant is not hired, etc.), define a retention period and define which document types, activity types or request type needs to be removed as well in case the person needs to be removed.
Based on this classification you'll be able to report and manage the personal data in an action center that provides you information about for which entities the event has taken place, which entities need to be removed from the system and which (personal) data do you have from a certain entity.

An action center is available that shows per person, contact or account of the event occurred, the expiry period is reached and what the proposed action is. For more information see Overview of events for personal data classifications (Exact Synergy) and Action center for personal data classifications (Exact Globe).
In the personal data classification you can define to automatically link a personal data classification when creating creating new persons, contact persons or accounts. For more information, see Creating and modifying personal data classifications in Exact Globe and Creating and modifying personal data classifications in Exact Synergy.
In the maintenance of the persons, accounts and contact persons in Exact Globe the Personal data classifications tab is available. On this tab you can see which personal data classifications are linked to the specific person, account or contact and you can link or unlink the classifications. In Exact Synergy this can be done via the hyperlink Personal data in the monitor of the person card, account card and contact card.
When working with Exact Integrator or Central Master Data Management (CMDM) you can use the Personal Data Protection solution in Exact Lightweight Integration Server (ELIS) for the synchronization of personal data classifications and anonymise actions between Exact Synergy and Exact Globe. Via the export function you van export the data on your screen to Microsoft Excel. For more information, see For more information, see Zooming in on personal data classifications (Exact Synergy) and Processing personal data (Exact Globe). From product update 262 onwards you can select in Exact Synergy the columns you want to export.
Besides the functionality mentioned above current en previous product updates also offer the possibility to delete, anonymise or merge data.
