Creating and maintaining items - Serial/batch tab

This screen is displayed when the Serial/batch tab is clicked in the item maintenance screen (go to Inventory ➔ Items ➔ Maintain, select an item, and then click Open). In this tab, you can obtain details of the items which are serial or batch items.

Note: This screen is available only if the item is a serial or batch item, defined under the Inventory tab.

Fields

Serial/batch numbers

Serial numbers or Batch numbers will be displayed depending upon the attribute selected under the Inventory tab. Select All to display all serial or batch numbers of this item. Select Available to display only serial or batch number(s) of the item that is in stock. Type or select a serial or batch number or a range of serial or batch numbers at From and/or To to display the selected serial or batch number(s).

Note: Typing or selecting only the serial number at From will display item(s) with the selected serial number and the serial number(s) after it. Typing or selecting only the serial number at To will display item(s) with the selected serial number and the serial number(s) before it. A serial number is a unique number that is used to link one serial item for identification purposes. A batch number is a unique number that is used to link a group of items that are treated as a single unit when sold.

Lot Number

Type or select the lot number or a range of lot numbers at From and/or To to display the selected lot numbers.

Note:

  • A lot number is a number that is used to link serial and/or batch items and to enable the items to be grouped. For example, an amplifier for a car is a serialized item and is linked to a batch number when produced in one batch of production. This batch of amplifiers is assigned to a lot number. If there are any problems with the units, they can be traced by the assigned lot number.
  • Typing or selecting only the lot number at From will display item(s) with the selected lot number and the lot number(s) after it. Typing or selecting only the lot number at To will display item(s) with the selected lot number and the lot number(s) before it.
  • This option is available only if the serial/batch item is not an asset, purchase contract, or service contract.

Warehouse

Select the warehouse to display serial or batch numbers belonging to the selected warehouse. By default, All is selected to display serial or batch numbers in all warehouses.

Mask

Type a maximum of 20 characters, excluding “¿”, to define the pattern to mask serial or batch numbers. The character “#” is required to define the sequence of numbers in the mask and the position of the masking in the sequence. For example, type “#” or “##” to define that one or two digits, respectively are allowed in the sequence of numbers.

Increment factor

Type the increment factor of the sequence numbers whereby the maximum number depends on the quantity of "#" defined at Mask. For example if you type “#” or “##” at Mask, the maximum number allowed at this field is "9" or "99", respectively. By default, “1” is displayed. The sequence number will start with the defined increment factor. This is mandatory if you have defined the mask. Example:

Note: You can manually assign serial and batch numbers from various orders and requests. In certain situations, you may need to assign multiple serial and batch numbers for the corresponding items. In order to ensure that you assign the right serial and batch numbers for the right items quickly, you can use the feature to mask serial and batch items when performing production order receipts, purchase order receipts, fulfillment of sales orders for items linked to drop ship warehouse, and when processing stock counts. With this feature, the serial and batch numbers are proposed according to a predefined mask. The masking is set up for each item by defining the necessary information at Mask and Increment factor.
