Creating and maintaining projects - Related tab

Menu path

Go to Projects ➔ Projects ➔ Maintain projects, click the Related tab in a project master card.

Introduction

In this tab, you can obtain an overview of the related projects and their financial summary:
  • the planned costs and revenue
  • the actual costs and revenue
  • the purchase amount, and
  • the differences between the planned costs, actual costs, and purchase amount.

The related projects are:

  • children of this project 
  • parent of this project, or 
  • children of the parent project.

Besides that, you can also maintain the related projects or create a child project.

Fields

You can filter the projects that you want to display by defining one or more criteria. The projects that match the defined criteria are then displayed. A list of options will be displayed when you click https://eportal.exact.nl/docs/DocBinBlob.aspx?ID=%7bDFF9EDF4-56C5-488F-AAD6-51AB2D567C4F%7d at Budget scenario. From the list, make a selection and click Select. 

Budget scenario

Type or select a budget scenario to display the related project linked to this budget scenario. Leave this blank to display the related project linked to any budget scenario.

Options

Select Parent, Children, or All to display the project and its parent or child, up to the level defined at Level.

Level

Select 1, 2, 3, 4, or 5 to display the project and its parent or child, as defined at Options, up to the defined level. The following is an example of the hierarchical structure of a parent-child relationship, and the corresponding automatically generated project codes.

  • 1, 2, 3, 4, or 5 and Parent at Options — Selecting this combination will display the project itself and its parent up to the defined level.  For example, selecting 1 for PRO.001.001.001 will display PRO.001.001.001 and PRO.001.001 (first level parent). Selecting 2 for PRO.001.001.001 will display PRO.001.001.001, PRO.001.001 (first level parent), and PRO.001 (second level parent).
  • 1, 2, 3, 4, or 5 and Children at Options — Selecting this combination will display the project itself and its child up to the defined level. For example, selecting 1 for PRO will display PRO and PRO.001 (first level child). Selecting 2 for PRO will display PRO, PRO.001, (first level child), PRO.001.001 (second level child), and PRO.001.002 (second level child).
  • 1, 2, 3, 4, or 5 and All at Options — Selecting this combination will display the project itself, its parent, and its child up to the defined level. For example, selecting 1 for PRO.001 will display PRO.001, PRO (first level parent), PRO.001.001 (first level child), and PRO.001.002 (first level child). Selecting 2 for PRO.001 will display PRO.001, PRO (first level parent), PRO.001.001 (first level child), PRO.001.002 (first level child), and PRO.001.001.001 (second level child).

Click this to create a child to this project. For more information, see Creating and maintaining projects.

Edit icoin 1.PNG Edit

Click this to edit the selected project.

Note: This is enabled only when you select a child project.

Delete icon 1.PNG Delete

Click this to delete the selected project.  A project can only be deleted if it is not linked to any child project.

Note: This is enabled only when you select a child project.

After defining the search criteria, the projects that meet the defined criteria will be displayed.  

By default, the following will be displayed:

  • Project — This displays the project code.
  • Description — This displays the description of the project.
  • Manager — This displays the manager of the project.
  • Status — This displays the status of the project.
  • Planning: Revenue — This displays the revenue planned for the project.
  • Planning: Costs — This displays the costs planned for the project.
  • Actual: Revenue — This displays the actual revenue of the project.
  • Actual: Costs — This displays the actual costs of the project.
  • Purchase — This displays the purchase amount.
  • Difference — This displays the differences between the planned costs, actual costs, and purchase amount.

Note: It is possible that not all columns in the example are displayed. You can add or delete columns as required. For more information, see Inserting and deleting columns.

Totals

The total of the financial summary of the listed projects will be displayed at the bottom of the overview.  

  • Costs — Planning displays the total amount of budgeted costs based on the quantity and cost price of an item while Actual displays the actual amount of costs that is realized based on the registered realizations.
  • Revenue — Planning displays the total budgeted revenue based on the quantity, line discount, and sales price of the item while Actual displays the actual revenue that has been invoiced.
