Projects ➔ Projects ➔ Maintain project
This screen is displayed when the Pur./Inventory tab is clicked in the project maintenance screen. For more information, see Creating and maintaining projects. In this tab, you can create and/or maintain the purchase and inventory information linked to the project.
The information in this document is applicable to product update 421 and higher. If you have versions lower than this, certain features explained here will not be applicable.
Keep in mind: The Authorize icon is enabled only if an unauthorized purchase order is selected in the overview.
Keep in mind: The Process icon is enabled only if the selected purchase order is authorized but has not been processed.
Keep in mind: The Receipts icon is enabled only if the selected purchase order is processed but has not been received.
Keep in mind: The Fulfillment icon is enabled only if the selected purchase item is received at Purchase ➔ Entries ➔ Receipt but has not been fulfilled.
Keep in mind: The Unallocate icon is enabled only if the selected purchase order was received at Purchase ➔ Entries ➔ Receipt.
Select the Purchase option to display the details of the purchase orders with non-serialized items and linked to the project. Select the Inventory option to display the inventory details of the received purchase orders with non-serial items and linked to the project.
The following icons will be displayed if the Purchase option at Show is selected:
Note: It is possible that not all the columns in the overview are displayed. You can add or delete columns as required. For more information, see Inserting and deleting columns.
Click this to create an internal use request linked to the project. A purchase order will be automatically created for the internal use. For more information, see Creating and maintaining internal use requests.
Click this to generate a purchase order for the project. For more information, see Creating and maintaining purchase orders.
Click this to authorize the selected purchase order. Once clicked, a green check mark will be displayed in the Authorized column for the selected purchase order.
Note: This icon is enabled only if the selected purchase order is not authorized.
Click this to process the selected purchase order. Once clicked, a green check mark will be displayed in the Processed column for the selected purchase order.
Note: This icon is enabled only if the selected purchase order is authorized but has yet to be processed.
Click this to receive the selected purchase order. This icon is enabled only if the selected purchase order is processed but has yet to be received. Once clicked, the purchase order is updated with the number of items received and the items are automatically fulfilled to the project. Consequently, a green check mark will be displayed in the Received column.
Note: You can only receive non-serial items using this icon.
The following icons will be displayed if the Inventory option at Show is selected:
Click this to fulfill the selected purchased item for the project. Once clicked, the items are fulfilled for the project. The quantity in the Out and Inventory columns will increase or decrease by the number of fulfilled items, respectively.
Note: This is icon enabled only when the purchased items are received at Purchase ➔ Entries ➔ Receipt but has yet to be fulfilled. Inventory refers to the project inventory instead of the stock in the warehouse.
Click this to cancel the allocation of the selected item in the project. Once clicked, the allocated items will be released from the project and the quantity in the Out and Inventory columns will increase or decrease, respectively.
Note: This is icon enabled only if the selected purchase order was received at Purchase ➔ Entries ➔ Receipt.
