The project balance list is a report that shows the cost, revenue, margin, the tax incurred for the project, and the project start and end date. To view the balance list, go to Projects/Reports/Balance list .
You can filter the balance list of projects that you want to display. To filter the balance lists, you can define one or more filter criteria and click Display. The system will display the balance list that matches the specified filter criteria. A list of options appears if you click the Browse icon on the Sales order, Ordered by, Delivery to, Cost centers, Person, and Project boxes. From the list, make your selection and click Select.
Select the warehouse to display the balance list of projects linked to the selected warehouse. If you want to display the balance list for all warehouses, select All.
Note: This box is only available when you have E-Warehouse Management in your license.
Type or select the transaction date or date range of projects to display the balance list of projects with transactions during the selected date or date range. Select the All check box to display the balance list of projects with any transaction date.
Notes: Typing or selecting only the start date of transactions will display projects with transactions that start from the selected date and after the date. Typing or selecting only the end date will display projects with transactions that end at the selected date and before the date.
Type or select a sales order number to display the balance list of projects linked to the selected sales order number. Select the All check box to display the balance list of projects linked to any sales orders. The selection made at Project type under the Advanced mode will determine whether the balance list will include projects with the corresponding type.
Type or select the Ordered by debtor of the sales orders which belong to the projects to be displayed.
Type or select the Delivery to debtor of a sales order which belong to the projects to be displayed.
Note: A sales order can be ordered by one debtor but delivered to another. This is determined in the sales order.
Type or select a cost center or cost center range of the projects to display the balance list of projects linked to the selected cost center or cost center range. Select the All check box to display the balance list linked and not linked to any cost center.
Type or select the person with hours planned to or realized for the projects to display the balance list of projects linked to the selected person. Select the All check box to display the balance list linked and not linked to any person. Select the Active and/or Inactive check boxes to filter the balance list by that status of the selected person.
Type or select a project code to display the balance list of the specific project or project range. Select the All check box to display the balance list of all projects.
Click Advanced to view the advanced search criteria under Project, Show, and Item sections. A list of options appears if you click the Browse icon on the Item group and Item boxes. From the list, make your selection and click Select.
Select the Time & Material, Internal, Fixed, Production, and/or Training check boxes to generate the balance list of projects with the corresponding type.
Select the Active, Proposed, Completed and/or Blocked check boxes to generate the balance list of projects with the corresponding status.
Select this check box to exclude automatically generated projects.
Note: If you have cleared the Generate project check box at System/General/Settings, under Order Settings in the Entry section, projects are only automatically generated for quotations, sales orders, service orders, or service contracts which contain hour items.
If you have selected the Generate project check box at System/General/Settings, under Order Settings in the Entry section, projects are automatically generated, regardless of the type of items.
However, production projects will always be considered as non-auto generated projects. Thus to view production projects, clear the Exclude: Automatically generated projects checkbox.
This check box is only enabled when a single project code is filled in at the Project box. For multiple project selection, this check box is disabled. Select the check box to display all projects (child projects) related to the selected project (parent project).
Select this check box to show overworked hours for the selected project.
Note: This function is obsolete and will be removed in the next version.
Select this check box to include returns in the balance list.
Type or select a valid item group to display the balance list of projects linked to items which belong to that specific item group or item group range. Select the All check box to generate the balance list of projects linked to items which belong to any item group.
Type or select a valid item code to display the balance list of projects with that specific item or item range. Select the All check box to display the balance list of projects with any item.
Select the Active, Blocked, Discontinued, and/or Inactive check boxes to generate the balance list for the project with items of the corresponding status.
Select the Standard, Labor hour, and/or Machine hour check boxes to generate the balance list for the project with items of the corresponding item type.
After defining the filter criteria, click Display to display the balance list.
Note: It is possible that not all columns in this example are displayed. You can add or delete columns as required. For detailed instructions on how to customize displayed columns, see Related documents: Inserting and deleting columns.
Click Display to display the balance list based on the defined criteria.
Click Advanced to view the advanced filter criteria. Click Simple to hide the advanced criteria.
Click Close to exit.
