Selecting and searching invoices to be processed

Introduction

In Exact Globe Next, you can find sales invoices, direct invoices, credit notes/invoices, and/or commission invoices that have not been processed. From the overview screen, you can zoom in on detailed invoice overviews, item transactions cards, debtor and item maintenance cards, which provide a clear overview of your invoices with the relevant information about the debtors and items concerned. Invoices that have been printed and processed will not be displayed in this overview.

Fields

You can filter the invoices to be processed that you want to display. To search for the invoices, you can define one or more of the following criteria and click Search. The invoices that match the defined search criteria are then displayed. A list of options will be displayed if you click 1-Search at Sales order, Invoice code, and other fields. From the list, select an option and click Select.

Note: It is possible that not all columns are displayed. You can add or delete columns as required. For more information, see Inserting and deleting columns.

Search

Click this to search for invoices based on the defined criteria.

Clear

Click this to clear the defined criteria.

Number of rows

Type the number of rows to be displayed in each screen. If you have set the default number of rows to 10, then 10 rows will be displayed. Therefore, if you have more than 10 rows listed, the Previous and Next buttons will become available.

Previous

Click this to return to the previous list of results.

Next

Click this to go to the next list of results.

Filter

Select the required option to filter the search that starts with or contains a certain letter or word.

Group by

Select one of the following to specify how you want to group the invoices to be displayed:

 

  • None — Select this option to display all invoice lines.
  • Invoice debtor — Select this option to display invoice lines grouped by invoice debtor.
  • Sales order debtor — Select this option to display invoice lines grouped by sales order debtor.
  • Sales order — Select this option to display invoice lines grouped by sales order number.
  • Sales order date — Select this option to display invoices grouped by sales order date.
  • Invoice code — Select this option to display invoices grouped by invoice code.

Note: Different columns of data will be displayed based on the selected grouping of data.

Invoice type

Select All to obtain all unprocessed invoices types or select any one of the following to obtain an overview of the respective types of invoices:

  • Invoice — Normal sales invoices registered at Invoice/Entries/Invoices.
  • Credit note — Credit notes/invoices registered when sold items are returned.
  • Direct invoice — Direct invoices registered at Invoice/Entries/Direct invoices.
  • Commission invoice — Commission invoices generated with E-Commission invoices.

Note: This option is available if you have grouped by None, Invoice debtor, Sales order debtor, or Sales order.

Sales order date

Type or select a sales order date or date range to display invoices that fall within the selected sales order date range. By default, the All check box is selected to display invoices that fall on any sales order date.

Note: Typing or selecting only the start date will display invoices with the selected sales order date and later dates. Typing or selecting only the end date will display invoices with the selected sales order date and earlier dates.

Note: This option is available if you have grouped by None, Invoice debtor, Sales order debtor, or Sales order.

Sales order

Type or select the sales order number or a range of sales order numbers to display the invoices of the selected sales order(s). By default, the All check box is selected to display invoices of all sales orders.

Note: This option is available if you have grouped by None, Invoice debtor, Sales order debtor, or Sales order.

Our ref.

This refers to our reference number. Type a full your own reference number (internal reference number) to display the invoice that matches the entered reference number.

Your reference

Type a full or partial customer’s reference to display the invoice(s) that match the entered reference.

Delivery note

Type a delivery note number to display the invoice originated from the sales order that the delivery note belongs to.

Invoice code

Type or select an invoice code to display invoices with the selected invoice code.

Selection code

Type or select the selection code to display invoices with the selected selection code.

Sales order debtor

Type or select the ID or name of the customer who placed the sales order of the invoice(s).

Invoice debtor

Type or select the ID or name of the debtor who receives the invoice(s).

Resource

Type or select the resource ID or name of the resource who created the invoice(s).

Item code

Select an item code, which is quoted in the invoice, to display invoices with the selected item code.

Note: This option is available if you have grouped by None.

Buttons

Item card

Click this to view the item financial card of a selected invoice line.

Note: This button is enabled only if you have grouped the invoice by None. If you have selected a different grouping, this button is enabled when you select a group of invoices and then click Zoom.

Debtor card

Click this to view the financial card of a selected debtor. For more information, see Viewing debtor cards.

Note: This button is enabled if you have grouped the invoice by None, Invoice debtor, Sales order debtor, or Sales order. If you have selected Sales order date or Invoice code, this button is enabled when you select a group of invoices and then click Zoom.

Sales order

Click this to view the sales order.

Note: This button is enabled only if the invoice has been generated from a sales/service order.

Delivery note

Click this to view the delivery note. For more information, see Viewing delivery notes.

Note: This button is enabled only if the invoice has been generated from a sales order and the items from the sales order have been fulfilled.

Item

Click this to view the item maintenance or modify the details of the item of the selected invoice line. For more information, see Creating and maintaining items.

Note: This button is enabled only if you have grouped the invoice by None. If you have selected a different grouping, this button is enabled when you select a group of invoices and then click Zoom.

Debtor

Click this to view and edit the debtor that the selected invoice belongs to.

Note: This button is enabled only if you have grouped the invoice by None, Invoice debtor, Sales order debtor, or Sales order. If you have selected Sales order date or Invoice code, this button is enabled when you select a group of invoices and then click Zoom.

Zoom

Click this to view the individual invoice records of the selected grouped invoices. If you want to view the invoice in read-only mode, select an invoice record and click Zoom again.

Back

Click this to return to the previous grouping view.

Note: This button is enabled only if you have clicked Zoom to view the details of the selected invoice.

Close

Click this to exit.
