Creating prepayments for purchase orders

You can create prepayments for purchase orders with the condition that the purchase orders are already confirmed. This means the purchase orders have been processed and final printed.

Fields

You can create prepayment for a purchase order by selecting a relevant purchase order at Purchase ➔ Entries ➔ Purchase orders, and click Open. In the purchase order entry screen, click Conditions, and then click Prepayment. At the Linking: Prepayment screen, click New.

Prepayment section

From – Cash instrument

Type or select the bank account from which the prepayment will be paid. This information is mandatory.

Amount / Due date

Type the amount of prepayment and select the corresponding currency which is required by the payee. Type or select the due date of the prepayment.

Payment reference

Type the payment reference of this prepayment for easy reference. This will increase the traceability of the prepayment.  

Method / Payment date

Select Cash, Cheque, Letter of credit, or EFT as the method of prepayment. Select the date the prepayment is made.

PO no. / Your ref. (reference)

The purchase order number of the purchase order for which you are defining the prepayment, is pre-filled automatically. This information cannot be edited. Type the your reference number of prepayment.

Creditor

The supplier in the purchase order for which you are defining the prepayment, is pre-filled automatically. This information cannot be edited.

Address

The supplier address of the purchase order for which you are defining the prepayment, is pre-filled automatically. This information cannot be edited.

Creditor bank

Click  to select the relevant supplier’s bank account to which the prepayment will be paid. Click Save to save the prepayment. Upon saving, the following details are automatically displayed. These details cannot be edited.

G/L

The general ledger account which the prepayment is paid from is displayed.

Amount, XRate

The amount and the exchange rate of the registered payment are displayed.

Notes

Click  to type the notes for the prepayment.

G/L

The general ledger account which the prepayment is paid to is displayed.

Attachment

Click to attach a document to the prepayment.

Buttons

Creditor

Click this to display the creditor’s information. For more information, see Creating and maintaining accounts receivable

Card

Click this to display the creditor’s financial transactions. For more information, see Viewing creditor card

New

Click this to create new prepayment.

Save

Click this to save the prepayment.

Close

Click this to exit.
