Viewing sent and received e-Invoices using PEPPOL electronic invoicing service

Introduction

In the Electronic Invoicing Service screen, you can view the invoices sent and received electronically.

Note: This functionality is only available for the Dutch and Belgian legislations.

What version are you using?

The information in this document is applicable to product update 505 and higher (Exact Globe+) and product update 424 (Exact Globe Next). If your version is lower than this, certain features explained here will not be applicable.

How do I view the received e-Invoices?

  1. In the Finance > Reports > Electronic Invoicing Service or Invoice > Reports > Electronic Invoicing Service screen, define the search criteria and then click Search.
  2. Click the Received tab.
  3. Select an e-Invoice.
  4. Click Zoom.

How do I view the sent e-Invoices?

  1. In the Finance > Reports > Electronic Invoicing Service or Invoice > Reports > Electronic Invoicing Service screen, define the search criteria and then click Search.
  2. Click the Sent tab.
  3. Select an e-Invoice.
  4. Click Zoom.

Fields

Date from / to

Type or select a date or date range to view the sent and received e-Invoices. Select the All checkbox to view all the e-Invoices.

Status

Select the status of the e-Invoice. The e-Invoice(s) with the selected status will be displayed:

Received tab

  • Open - The e-Invoices have yet to be imported.
  • Received - The e-Invoices have been retrieved but have not been processed.
  • Processed - The e-Invoices have been processed.
  • Rejected - The e-Invoices have been rejected.
  • Error - The e-Invoices contain errors.

Sent tab

  • Open - The e-Invoices have been received by PEPPOL but have not been sent.
  • Sent - The e-Invoices were sent to PEPPOL.
  • Error - The e-Invoices contain errors.

Account

Type or select an account to display the e-Invoices with the selected account. You can only select accounts where:

  • the Coc number or VAT number is defined in the debtor maintenance,
  • the status is not inactive, and
  • the type is Suspect, Lead, Prospect, Customer, Reseller, Supplier, or Associate.

The e-Invoices will be displayed in the overview. You can view the e-Invoices you have received or sent using the Received and Sent tabs.

Received/Sent

Depending on which tab you have selected, the date and time when the e-Invoice was sent or received is displayed.

Subject

This column displays the subject of the received or sent e-Invoice.

Participant no.

The participant number of the relation is displayed. This is the participant number for e-Invoicing using PEPPOL.

Account

This column displays the code of the account.

Name

This column displays the name of the account.

Status

This column displays the status of the e-Invoice.

Buttons

Close

Click this button to close the screen.

Process

Click this to import the received e-Invoices. You can change the e-Invoices to purchase invoices.

Note: This button is available only if you are using Exact Globe Next.

Zoom

Click this to open the selected e-Invoice.
