Invoice ➔ Reports ➔ Invoice history
In Exact Globe Next, you can view the details of all processed sales invoices, direct invoices, credit notes (also known as credit invoices), commission invoices, and/or point-of-sales (POS) invoices. You can use this overview to quickly retrieve details of processed invoices or to print invoices. You can also use this overview to view the accompanying orders and financial details.
From this overview, you can:
You can filter the invoices that you want to display. To search for invoices, you can define one or more of the following criteria and click Search. The invoices that match the defined search criteria are then displayed. A list of options will be displayed if you click at Invoice to, Ordered by, and other fields. From the list, select an option and click Select.
Note: It is possible that not all columns are displayed. You can add or delete columns as required. For more information, see Inserting and deleting columns.
Click this to search for invoices/credit notes based on the defined criteria.
Click this to clear the defined criteria.
Type the number of rows to be displayed in each screen. If you have set the default number of rows to 10, then 10 rows will be displayed. Therefore, if you have more than 10 rows listed, the Previous and Next buttons will become available.
Click this to return to the previous list of results.
Select the warehouse to display invoices/credit notes belonging to the selected warehouse. Select All to display invoices belonging to any warehouse.
Note: This box is available only if you have E-Warehouse Management in your license.
This refers to our reference number. Type a full or partial your own reference number (internal reference number) to display invoices/credit notes that match the entered reference number.
Type the external number to display invoices/credit notes processed with the entered external number. External numbering is required for most type of transactions and must meet the legal requirements of the country. Each country has its own predefined external numbering format. Only one external number is assigned to a document or invoice and is assigned on the actual transaction, which is during the printing of the invoice.
Note: This field is available only if you have selected the Use external numbering check box in the Number settings at System/General/Settings.
Type or select an invoice date or range of invoice dates to display invoices/credit notes processed within the selected period. Select the All check box to display invoices/credit notes processed on any date.
Note: Typing or selecting only the start date display invoices/credit notes that are processed on and after the selected date. Typing or selecting only the end date will display invoices/credit notes that are processed on and before the selected date.
Type or select the ID or name of the customer who received the invoices/credit notes.
Type or select the ID or name of the customer to display invoices/credit notes of sales orders placed by the selected customer.
Click Advanced to display more criteria. You will see Selection code, Representative, Order, Delivery note number, Your ref., and Description. Click Simple to hide the additional criteria.
Type or select the selection code to display invoices/credit notes with the selected selection code.
Type or select the ID or name of the resource to display invoices/credit notes handled by the selected resource.
Type or select a sales order number to display the invoices/credit notes of the selected sales order.
Type or select the delivery note number to display invoices/credit notes with the selected delivery note number.
Type a full or partial customer’s reference to display invoices/credit notes that match the entered reference.
Type a partial or full description to display invoices/credit notes that match the entered description.
This line displays the status and classification of the debtor who received the selected invoice/credit note.
This line displays the credit line or the credit limit of the debtor who received the selected invoice/credit note. You can set the credit limit or credit line of a debtor by typing the limit in the Credit line under the Financial tab in the debtor maintenance (go to Finance/Accounts receivable/Maintain and then select the relevant debtor).
This line displays the total amount of outstanding payment for the selected debtor. If the amount has exceeded the credit limit, a red cross will be displayed. If the amount is below the credit limit, a green check mark will be displayed.
In this section, select the type of invoice you want to display. You can select more than one option. The following options are available:
Click this to type a new note or view the notes that are recorded for the selected invoice/credit note. For more information, see Creating and maintaining notes.
Note: This button is enabled only if you have selected a line.
Click this to attach a new document or view the documents that are attached to the selected invoice/credit note. For more information, see Viewing attached documents.
Click this to view the sales order that is linked to the selected invoice/credit note. For more information, see Creating and maintaining sales orders.
Note: This button is available only if the invoice has been generated from E-Sales Order.
Click this to view the delivery note. For more information, see Viewing delivery notes.
Note: This button is enabled only if you have selected a line and the selected invoice has been generated from a sales order and the items from the sales order have been fulfilled.
Click this to create a new credit note. For more information, see Creating credit notes based on invoices.
Click this to print the selected invoice. For more information, see Printing processed invoices.
Click this to view the list of processed invoices from the invoice history. When the Invoice history screen is displayed, select the invoice you want to copy and then click Copy to copy the details in the invoice to a new invoice. For more information, see Copying invoices.
Click this to view and edit the selected invoice/credit note. For more information, see Creating and maintaining sales invoices.
Click this to exit.
