At this screen, you can display the list of available general ledger accounts used in your division. You can also display the list of general ledger accounts by balance sheet or profit & loss layout.
To view the chart of accounts, function right 11 - View G/L Overview is required. By default, users with the General manager and Controller roles have this function right.
For more details on what you can do with function rights or levels, go to System/Setup/Security/Function rights, select the required module, and then click on the relevant ID. To find out the functions you can perform with a particular role, go to System/Setup/Security/Roles, type in the description, click Refresh, and then click the required link under the Role column.
Click this to update the results according to the defined criteria.
Click this to clear the defined criteria so that you can start a new search.
Click this to create a new general ledger account. For more information, see Creating Division General Ledger Accounts or Creating Corporate General Ledger Accounts.
Click this to delete a selected general ledger account. A message "Confirm: Delete?" will be displayed. Click OK to delete or Cancel to exit.
Note: Delete is available only at Financial/Setup/Master data/G/L Accounts.
Click this to modify the number of the selected general ledger account. For more information, see Recoding General Ledger Accounts.
Click this to merge the information of the general ledger account with another general ledger account. For more information, see Merging General Ledger Accounts.
Click this to copy the general ledger account scheme. For more information, see Copying Chart of Accounts.
Click this to link the division's general ledger account to the reporting entity's general ledger account. For more information, see Mapping General Ledger Accounts.
Note: This button is available only when you select Division at Report and if you have the module license YA1040 – Financial consolidation and option 470.
Click this to exit.
Select Corporate or Division to display the level of chart of accounts.
At Type, select B/S or P&L to determine the type of chart of accounts that you want to display. Leave this option blank if you wish to display all types of chart of accounts. Select the available subtype for the chart of accounts that you want to display at Subtype. Leave this option blank if you wish to display all subtypes of the chart of accounts.
Select B/S / P&L or List to determine the type of layout you wish to display for the chart of accounts.
At Debit/Credit, select Debit or Credit to determine the type of entry you want to display in the chart of accounts. Leave this option blank if you wish to display both entry types for the chart of accounts. At Exchange rate, select Closing, Average, or Historical to determine the type of exchange rate you wish to display for the chart of accounts.
Note: Exchange rate is available only when you select Corporate at Report.
Type a general ledger account number at G/L Account if you wish to display a specific general ledger account.
At Blocked, the discontinued general ledger accounts are displayed when you select Yes. Select No to display the active general ledger accounts. Leave this option blank if you wish to display all the general ledger accounts.
Similarly at Linked, select Yes to display the general ledger accounts that are associated to each other. Select No to display the general ledger accounts that are not linked or leave this option blank if you wish to display all the general ledger accounts.
Note: Blocked / Linked is available only when you select Division at Report.
Type the description of the general ledger account at Description to display the specific general ledger account(s).
Select Corporate, Division, or Reporting entity to compare the chart of accounts. If Reporting entity is selected, a field to select the relevant reporting entity is available. If the division G/L has been mapped to the G/L of the reporting entity, the mapped G/L’s reporting entity will be displayed together with the division G/L accounts as shown in the example in the Results section. If Corporate is selected, the corporate G/L accounts will be displayed together with the division G/L accounts. If division is selected, there will not be an additional column to compare the division G/L account.
Note: Categories is available only when you select Division at Report.
The columns available in this section depend on your selection. Among others, the division or the corporate G/L, the subtype, and the exchange rate type are displayed.
Click at the title bar to customize the fields or sections. You can add or remove existing criteria based on your preferences by selecting or clearing the relevant check boxes. Click Save to save the settings, Default to return to the default settings, or Close to exit without saving. Take note of the following sections/fields:
