Item Relation Type

Within Rental item relations are used to create Item configurations. The different item relation types are used to destinguish between the different types of rental contract items (rental, transport, sales, discount/charge and remark) and also if the relation is mandatory or optional.

For the rental solution the some Item relation types need to be created (check with Rental settings) and are filled in the rental settings, for example :

  • Mandatory item relation types, description (!):
    • 'Mandatory rental item '
    • 'Mandatory transport item'
    • 'Mandatory sales item FIRST'
    • 'Mandatory sales item LAST'
    • 'Mandatory discount/charge all'
    • 'Mandatory discount/charge FIRST'
    • 'Mandatory discount/charge LAST'
    • 'Mandatory remark item INTERNAL'
    • 'Mandatory remark item EXTERNAL'
  • Optional item relation types, description (!): 
    • 'Optional rental item'
    • 'Optional transport item'
    • 'Optional sales item FIRST'
    • 'Optional sales item LAST'
    • 'Optional discount/charge all'
    • 'Optional discount/charge FIRST'
    • 'Optional discount/charge LAST'
    • 'Optional remark item INTERNAL'
    • 'Optional remark item EXTERNAL'
  • Rental rate item relation types, description (!):
    • 'Daily rate'
    • 'Weekly rate'
    • '4-weekly rate'
    • 'Monthly rate'
    • 'Weekend rate'
    • 'Overnight rate'
    • 'Rates'

'First' and 'Last' are used to make a difference in when the linked item will be invoiced, either with the first or next invoice ('First') or with final invoice for the contract ('Last'). This 'indicator' for First / Last can be found in Sales, Transport and Discount/Charge lines.

For Remark lines it is possible to make a difference between internal and external comments using the 'internal' or 'external' relation type, the remarks of the comment item will be copied either to the internal or external field in the comment line.

 

 Creating new relation type

 

To create a new relation type, follow the steps below :

  • In Logistics, go to [Maintenance, References, Item relation types].

  • Click on the button " Add New "

  • Fill in the fields as described in the table below.

 

 

Field Description Remarks
General
Type Enter a code for the relation type  
Description Enter a description for the relation type  
Status Determine what relation type that you wish to use. Use any of the status to determine the relationship between two items. There are 9 types of status you can define, namely Default, mandatory, mandatory (one of set), Mandatory (at least one), Optional, Optional (one of set), Replacement, Trade in and Invalid For example an end product  is  made of 2 components and these two components are compulsory parts to make the end product, as such the relationship between the end product and the components are mandatory. You can configure this relationship between them with the relation type defined here.     
Security level Determine the security level that can have access to the relation type. The security levels are used in the same way that you have defined for e-Document.
Shop Suggestion Indicate whether the relation type can be use for items that are use in web shop.  
Contract - validation Indicate whether the relation type requires validation under any contract.
