Rental Online Help: How to: Items and Assortments for Rental

Setup: Logistics: Maintenance

This document describes how to create assortments and items for Rental
First, activate at least one country (System - Maintenance), this is needed for items with the serial attribute.

Assortment for Rental settings:

A seperate assortment should be created exclusively for the Rental settings.

Label the freefields on Items and Serial numbers like this:
(if the customer already has setup certain freefields, other freefields can be used. For example if the free yes/no field 1 on items is already in use, free yes/no fields 2, 3 and 4 can be used. The system will know this from the rental settings where the freefields need to be filled.)
When filling the Rental settings later on, this assortment needs to be selected in the section 'Free fields - Items / Serial number' > Assortment.

Rental items

Rental items are recognized (within Rental) by a freefield only (they can be in any assorment). However, most of the times it is convenient to have Rental items in a seperate assortment(s).

Rental assortment setup

create a rental assortment or use an existing assortment

in the created rental assortment(s), label the freefields on items and serial numbers the same way as the Free Field Assortment (see picture above).

Rental item setup

create an e-Synergy item, in the rental assortment described above

select the sales attribute

for bulk items leave the serial attribute unchecked (there is an overlap with sales items)

for serialised rental equipment, select the serial attribute

Some freefields are visible in the itemcard (the freefield labels come from the rental assortment). Make sure the Rentable checkbox (free yes/no field) is checked. Leave the other freefields empty at this time.

After saving the item, follow the serial number hyperlink and create serial numbers.

Optionally, fill the free fields per created serial number

Rental rates can be created and maintained in the seperate Rental Rates function (Rental > Maintenance > Rates: Rental).

Transport items

Transport items are recognized (within Rental) by their assortment.

create the transport assortment (When filling the Rental settings later on, this assortment needs to be selected in the section Assortments > Transport.)

create an e-Synergy item, in the Transport assortment described above
select the sales attribute
after saving the transport item, Standard e-Synergy sales prices can be created (sales prices percountry, cost center, currency and discount tables are supported within Rental. The corresponding sales price will be pulled automatically into a rental contract when creating a sales item.)

Sales items

Sales items are recognized (within Rental) only by the sales attribute. This implies an overlap with bulk rental items. It can be convenient to create a seperate Sales assortment.

create a sales assortment(s) or use an existing assortment

Sales item setup

create an e-Synergy item, in a assortment described above
select the sales attribute
after saving the sales item, Standard e-Synergy sales prices can be created (sales prices per country, cost center, currency and discount tables are supported within Rental. The corresponding sales price will be pulled automatically into a rental contract when creating a sales item.)

Discount/Charge items

Discount/Charge items are recognized (within Rental) by their assortment.

Discount / Charge assortment setup

create the discount/charge assortment (fill this in the rental settings)

Discount / Charge item setup

create an e-Synergy item, in the Discount / Charge assortment described above
select the sales attribute
the discount/charge amounts/percentages can be maintained in the seperate maintain discount/charge function (Rental > Maintenance > Discount/Charge)

Remark items

Remark items are recognized (within Rental) by their assortment and can only be brought into a rental contract using the remark item relations types.

Remark assortment setup

create the remark assortment (fill this in the rental settings)

Remark item setup

no attributes need to be selected
the actual remark can be filled in the remark section
