Customizing Request Type Fields - Amount & Amount (Realized)

Introduction

You can configure the Amount and Amount (Realized) fields in a request type. The Amount field calculates and stores the total amount based on the item price and quantity.

In order to use these fields, you must also configure the corresponding Items and Quantity fields. For more information on Item and Quantity fields, see Customizing Request Type Fields - Item 1 & Item 2 and Customizing Request Type Fields - Quantity 1, Quantity 1 (Realized), Quantity 2, & Quantity 2 (Realized).

Based on the Item field and price chosen in the Item setting in the Calculation section of the Amount field definition, the following table summarizes the fields required and the calculation of the Amount fields.

You can also enable the manual entry of the amount so the user can change the amount instead of relying on the price listed in the item card. In this case, you can also use the Amount (Pricelist) and Amount (Realized - Pricelist) to display the total amount as calculated using the price listed in the item card regardless of the price entered by the user. For more information, see Customizing Request Type Fields - Amount (Pricelist) & Amount (Realized - Pricelist).

Note: During run-time, if a request has values for the corresponding Item and Quantity fields, the Amount is automatically calculated when the user submits the request or save the request as a draft. However, if the Item or Quantity fields are changed during subsequent modification of the request, the Amount field is not automatically updated. The user must click Calculate to recalculate and update the Amount. However, the Amount (Pricelist) and Amount (Realized - Pricelist) fields reflect the updated amount without recalculation but this update is only reflected after the user has saved and reopened the request. You can use this behavior to your advantage as this ensures that the amount inserted earlier is not changed unless specified by the user. As an example, take a scenario where the sales person has offered three units of an item to a customer at an agreed price. Halfway through the sale, the sales person decides to offer an extra unit to the buyer at no extra cost. The sales manager can then compare the price differences when approving the sales request.

Description

The following describes only the settings specific for the Amount and Amount (Realized) fields. For more information on the menu path, roles and rights, buttons, and other settings available in most request fields, see Customizing Request Type Fields (Main Document).

  • Search keyword: Type "amount" in the Name box and click Refresh. Click the Amount or Amount (Realized) field to add and configure the field in the request type.
  • Automatic label: In a generated request form, the automatic label is "Amount (Planned)" for Amount and "Amount (Realized)" for Amount (Realized). Since the automatic label does not specify which Item field is used and whether the price is sales or purchase price, you should consider configuring the Label section in the Amount field definition especially if you have both Item 1 and Item 2 fields in the same request type. For more information, see Customizing Request Type Fields (Main Document).

Default section

Default

Select a currency from the available options, and then type the default amount to be entered in the Amount or Amount (Realized) field of a newly-created request. A user can change the default amount unless you have disabled the editing of this field for a relevant status of the request in the Edit section.

Note: Since the amount can be calculated automatically, you must clear the Calculate check box in the Calculation section in order to set a default amount. In this case, the user can perform a manual entry of the amount regardless of the setting in the Manual entry check box of the Calculation section. If you want to set a default amount and disable the user from changing the amount, disable the editing of the amount field in the relevant status of the request in the Edit section.

Calculation section

Calculate

Select this check box to enable Calculate in the request. The user can click the icon to calculate the amount based on the item and price set in the Item setting of this section and the corresponding Quantity field in the request.

Note: In order to enable the calculation, the relevant fields must also be configured for this request type as described in the table in the Introduction of this page.

Manual entry

Select this check box to enable the user to type the amount in the Amount field apart from clicking Calculate. This is useful to enable the user to specify a different amount such as in offering extra discounts to a buyer.

Country

Select Person or Account to specify whether the price will be calculated based on division country of the person or the country of the account as you can have different prices for an item for different countries.

Note: In order to use the price of the account or the person, you should also configure the Person or Account fields. If the request does not have the Person or Account field, the price used in the calculation will be based on the price list for the country of the request creator.
