Performing Actions on Serial/Batch Numbers

Introduction

This page allows you to perform actions to change critical information for serial numbers, such as recoding and merging serial/batch numbers. The descriptions in the document are also applicable when you are recoding or merging batch numbers.

Menu path

To perform actions on critical serial number information, go to Logistics/Reports/Search/Serial numbers, and then click Show. Click the relevant serial number under the Serial number column, and then, click Actions.

To perform actions on critical batch number information, go to Logistics/Reports/Search/Batch numbers, and then click Show. Click the relevant batch number under the Batch number column, and then, click Actions.

Roles & function rights

To recode or merge serial or batch numbers, function right 21 – Maintain Item (serial) numbers is required. Users with the Item number assigner role have this function right.

For more details on what you can do with function rights or levels, go to System/Setup/Security/Function rights, select the required module, and then click on the relevant ID. To find out the functions you can perform with a particular role, go to System/Setup/Security/Roles, type in the description, click Refresh, and then click the required link under the Role column.

Button

Recode

Click this to change the serial number.

Note: This button is available only when you are recoding an existing serial number after clicking Recode: Serial number.

Merge

Click this to merge the serial/batch number with another serial number. The current serial number will be deleted and the information will be lost.

Note: This button is available only when you are merging an existing serial number with another serial number after clicking Merge: Serial number.

Close

Click this to exit.

Description

Recode: Serial number

Click this to recode the serial number. For more information, see Recoding serial or batch number below.

Merge: Serial number

Click this to merge the serial number. For more information, see Merging serial or batch number below.

Recoding serial or batch number

You will see the following fields after clicking Recode: Serial number or Recode: Batch number. To change the serial number to a new serial number, specify the new serial number and then click Recode.

After the change is complete, you will see a message “Recode: Serial number (a1001): Completed” whereby a1001 is the current serial number you have just successfully changed. You will be able to search for this serial number using the new serial number.

Serial/batch number

By default, the serial number selected you want to recode is displayed.

Description

By default, the description of the serial number you want to recode is displayed.

Serial number: New/Batch number: New

Type the new serial number you want to change from the current serial number.

Merging serial or batch number

You will see the following fields after clicking Merge: Serial number or Merge: Batch number. To merge the serial number with a new serial number (serial number that is currently available in the system), specify the serial number you want to merge the current one with, and then click Merge.

After the merge is complete, you will see a message “Merge: Serial number (a1002): Completed” whereby a1002 is the current serial number you have successfully merged with another new serial number. You will be able to search for this serial number using the new serial number. All information for the serial number will be lost.

Serial/batch number

By default, the serial number that you have selected to merge with another serial number is displayed.

Description

By default, the description of the serial number you want to merge is displayed.

Serial number: New/Batch number: New

Type or select the new serial number (serial number that is currently available in the system) you want the current serial number to merge with. After merging the current serial number with the new serial number, all information of the current serial number will be lost.
