Assets Reports Balance list 

Introduction

This page allows you to search and display the balance of assets in your organization. The report will show the book value, investment, and depreciation amounts of the asset.

What version are you using?

The information in this document is based on product update 403. If you have versions lower than this, certain features explained here will not be applicable.

How do I view the assets balance list report?

  1. In the Balance list screen, define the search criteria. 
  2. Click Export.

How do I generate the report according to the criteria specified?

  1. In the Balance list screen, define the search criteria. 
  2. Click Display

Keep in mind: All fields with the “!” icon are mandatory.  

Fields

Assets section

Group

Type or select the asset group or range of asset groups to display assets linked to the group. Select All to display all assets.

Warehouse

Type or select the warehouse to display assets stored in the warehouse. Select All to display assets in all warehouses. This is mandatory.

Cost center

Type or select a cost center or range of cost centers to display assets that are linked to these cost centers. Select All to display all assets with cost centers.

Cost unit

Type or select a cost unit or range of cost units to display assets that are linked to these cost units. Select All to display all assets with cost units.

Serial number

Type or select a serial number or range of serial numbers to display assets that match these serial numbers. Select All to display all assets with serial numbers.

Item code

Type or select an item code or range of item codes to display assets that match these item codes. Select All to display all assets with item codes.

B/S assets acct.

Type or select the B/S assets account or range of B/S assets accounts to display assets that match these B/S assets accounts. Select All to display all assets with B/S assets account.

Reference date

Type or select the reference date to display assets that contain transactions up to the specified date. Select All to display transactions for all dates.

Person

Type or select the person to display assets that is linked to this person. Select All to display all assets linked to that person. 

Include

Select the required check box to display assets with the selected status only. You can select more than one.

  • Active – Select this to display assets with the active status. Active assets are assets that are in use and can allow transactions such as depreciation.
  • Depreciated – Select this to display assets that are fully depreciated. Depreciated assets are assets that have a value of zero or an end value as defined at the Residual value field in the Basics tab of asset maintenance.
  • Sold – Select this to display assets that are sold. Sold assets are assets which are disposed of. Sold assets cannot have any more transactions.
  • Blocked – Select this to display assets with the blocked status. Blocked assets are assets that are blocked from further processing whereby the items at the General tab at the assets maintenance cannot be edited.
  • Inactive – Select this to display assets with the inactive status. Assets can be set inactive provided the depreciation end date is before the current date. Inactive assets cannot have any more transactions.
  • Write off – Select this to display assets that have been written off. Written-off assets are not sold. Instead, these assets are usually no longer useful due to obsolescence, damage, or wear and tear. For detailed information on writing off assets, see Writing Off Assets.

Click this to generate the report in Microsoft Excel.

Display

Click this to generate the report according to the criteria specified.

Close

Click this to close.
