Product Update 420: E-WMS serial number registration during fulfillment
Notes:
- This document is only applicable for customers that participate in the controlled release phase for this solution.
- Before performning an update to product update 420 it is important that all pending transactions on the scanner are processed or rolled back.
For trading companies that do not
want to keep a complete serial number registration in all processes, it is now
possible to keep a separate serial number registration in the logistics part
within E-WMS.
This serial number registration in
E-WMS relates to the issue of goods and allows you to register the serial
numbers for traceability purposes only for the outgoing flow of goods. The WMS
serial number registration has no link to the regular serial number
registration in Exact Globe Next and you can indicate per item whether you want to
use the regular serial number registration or the WMS serial number
registration.
To support the WMS serial number
registration, the following has changed:
WMS
Sales Order fulfillment settings
At the menu path System ➔ General ➔
Settings ➔ WMS Sales Order fulfillment settings, two new settings have
been added that enable you to print the serial numbers when printing delivery
notes. For more information, see Product
Update 420: New settings for printing serial and SSCC numbers on delivery notes.
Item
maintenance
In the WMS item maintenance screen
(accessible via WMS ➔ Setup ➔
Items, and clicking the WMS button), the Serial numbers at
fulfillment section has been added.

Under this section, the following
fields are available:
- Serial
- This setting lets you define that this item is a WMS serial item and can
be used in the WMS serial number registration. Keep in mind that an item
is either used in the regular Exact Globe Next serial number registration
or the WMS serial number registration. This setting cannot be enabled if
an item is a regular serial ot batch item.
- Scan and create new
- This setting lets you define if serial numbers can automatically be
created when scanned. If this setting is disabled, you can only scan
serial numbers that have been created beforehand via WMS ➔ Setup ➔
Serial numbers.
General
scanner settings
In the general settings screen (accessible
via System ➔ E-WMS ➔
Scanners ➔ General scanner settings), the Serial numbers at
fulfillment section has been added.

Under this section, the following
fields are available:
- Alphanumerical
– This check box determines if you allow only digits when scanning a
serial number, or also allow alphanumerical characters.
- Min. number of characters – This refers to the general validation on the length
of a scanned serial number to avoid scanning wrong data.
- Max. number of characters – This refers to the general validation on the length
of a scanned serial number to avoid scanning wrong data, with a maximum
value of “30”.
- Truncate when longer
- When enabled, scanned serial numbers are automatically truncated at the
length configured at Max. number of characters. When disabled
(this is the default setting), you will get an error message when scanning
serial numbers that are too long. When truncating serial numbers, the risk
of getting serial numbers which are not unique, will become higher.
Scanner
settings for sales order fulfillment / Stock transactions / Production issues
In the scanner settings for sales
order fulfillment / stock transactions (issues) / production issues (accessible via System ➔
E-WMS ➔ Scanners ➔
Sales order fulfillment settings / Stock transaction settings / Production issues settings), the new setting Serial: Auto issue has
been added.

This setting is similar to the auto
receive setting for purchase receipts and enables you to automatically generate
serial numbers during fulfillment and issue on the hand terminal.
Serial
number maintenance
A new menu path, WMS ➔ Setup ➔
Serial Numbers, has been added to create and maintain the serial numbers for
the WMS serial number registration.

The serial numbers that are created
during the scanning will only be displayed after reading back and processing
the fulfillment in the order fulfillment control center.
Per serial number you can define the
description, a start- and end date, the status, a lot number, and a supplier
code. The overview also shows some additional columns with stock information of
the specific serial number:
- Quantity Available
- This is the available quantity of this serial number. If created and not
fulfilled, this displays “1”. If fulfilled, this displays “0”. If
fulfilled and returned, this displays “1”.
- Quantity Reserved In WMS - This column displays the quantity that is reserved
on WMS. If the order has been scanned and read back, but not yet processed,
the quantity is reserved and it will be displayed in this column.
- Number Of Times Issued - This column displays the number of times the serial
number has been issued. When the serial is returned and issued again, this
will display “2”.
- Number Of Times Returned - This column displays the number of times the serial
number has been returned.
Keep in mind that this has no link
to the actual stock in the Exact Globe Next inventory. This applies only to the
WMS serial number registration.
WMS
serial numbers overview
For tracking purposes, a new serial
number overview has been added at the menu path WMS ➔ Reports ➔
Serial numbers.

This overview provides information
about the issued and returned serial numbers.
Scan
process
The process for scanning orders on
the hand terminal has not changed much.
The difference is, when scanning the
order lines for WMS serial numbers, the Serial number field is used,
while the S/B field is used for the regular serial numbers.

If the Serial: Auto issue setting
is enabled, you also have the option to generate multiple serial numbers when
scanning.
For this, click the settings icon, select Auto issue and enter the
number of serial numbers to create.
WMS:
Serial number button in sales order and RMA order screens
The WMS : Serial number button
has been added in the sales order and RMA order screens at these respective menu
paths, Order ➔ Entries ➔
Sales orders and Order ➔ Entries ➔
RMA orders.
With this button, you can assign a
serial number to the order line. This can be used when creating returns if the
customer already mentions which serial number he will return.
Keep in mind that you can only
select serial numbers that are already created. You can create a new serial number via the New button in the selection screen.
Issuing
production orders
When issuing production orders via
the scanner, the serial numbers are also created. This is only applicable
when scanning the production issue via the hand terminal and not when
issuing the production order via the manufacturing module.
