Viewing absence report of people

Introduction
Generally, every person in the organization is entitled for annual leave, sick leave, special leave, maternity leave, compassionate leave, and other absence entitlements. This page provides an overview of absence days the person has taken for each absence type respectively. You can view the absence report of the people by employment type, division, cost center, job group, job activity, absence type, layout type, and date.
Roles and rights
To view the absence report, function right 157 — View absence statistics is required. By default, users with the General manager, HR, HR assistant, or Production manager role have this function right.

What version are you using?
The information in this document is applicable to product update 259 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I view the absence entitlements report?
- On the HRM: Absence page under the Criteria section, define an assortment each at Sickness and Pregnancy respectively.
- Define the rest of the fields.
- Click Show.
Keep in mind: All fields with the “!” icon are mandatory.
Tips and tricks
The following example elaborates how the
FTE values are calculated when the Proportional FTE calculation check
box in the Criteria section is selected.
- The Proportional FTE calculation check box is selected.
- The FTE of the employee (with FTE = 1.00) per month is “21.75”.
- Roy started working on 17-03-2014 with FTE = 1.00.
- Some modifications were made to the FTE:
o
On 16-06-2014, the FTE was changed to “0.8”.
o
On 18-08-2014, the FTE was changed to “1.0”.
o
On 13-10-2014, the FTE was changed to “0.9”.

Fields
Criteria section
Type
Select Employee, Contractor, Student, and/or Temporary check boxes to display the report of people belonging to the respective employment types.
Group
Select the required option to display the report of people in the specific group.
Division
Type or select the division code to display the report of people belonging to the selected division. Once you have selected a division, you can view the details of the division by clicking the name of the division displayed next to the box. For more information, see Viewing division cards.
Cost center group
Type or select the cost center group to display the report of people in the specific cost center group.
Cost centre
Type or select the cost center code to display the report of people belonging to the selected cost center. Once you have selected a cost center, you can view the details of the cost center by clicking the name of the cost center displayed next to the box. For more information, see Creating and modifying cost centers.
Job group
Type or select the job group code to display the report of people belonging to the selected job group. Once you have selected a job group, you can view the details of the job group by clicking the name of the job group displayed next to the box. For more information, see Viewing job groups.
Job activity
Type or select the job group code to display the report of people belonging to the selected job activity. Once you have selected a job activity, you can view the details of the job activity by clicking the name of the job activity displayed next to the box. For more information on job activities, see Viewing job activities.
Group by
Select Group, Division, Cost center group, Cost centre, Job group, Job activity, Job title, or People to group the results accordingly.
Sickness
Select an assortment relevant to sickness. For example, a fever. This information is mandatory.
Layout
Select Monthly, Quarterly, Half-yearly, Yearly, or 4-Weekly to define the layout of the report.
Pregnancy
Select an assortment relevant to pregnancy. This information is mandatory.
Date
Type or select a date or range of dates for the report.
Proportional FTE calculation
Select this check box to display the proportionated FTE values for employees whose start dates of their work do not fall on the first day of the month.
Details
Select this check box if you want to display the details of the absence in the report. For example, the sickness is displayed in percentage based on a period.
