Viewing headcount report

Introduction
On this page, you can view the headcount report. In this report, you can view the total number of employees, contractors, students, and/or temporary resources, FTE, number of new resources, and number of people who have resigned by monthly, quarterly, or half-yearly. You can also view more detailed information of the results by clicking the hyperlink under the Count and FTE columns.
Roles and rights
- All users can view the Count and FTE information for the current month.
- To view the full headcount report, function right 158 – View resources reports is required. By default, users with the General manager, HR, or HR assistant role have this function right.

What version are you using?
The information in this document is applicable to product update 259 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I view the headcount report?
- On the HRM: Headcount page, define the criteria under the Criteria section.
- Click Show.
Buttons
Close
Click this to exit.
Show
Click this to display the results according to the defined criteria.
Note: Once you have clicked this button, the name of the button will change to Refresh.
Refresh
Click this to update the results according to the defined criteria.
Reset
Click this to clear all the defined criteria so that you can start a new search.
Fields
Criteria section
Type
Select the Employee, Contractor, Student, and/or Temporary check boxes to display the report of people belonging to the respective employment types.
Group
Select the required option to display the report of people in the specific group.
Division
Type or select the division code to display the report of people belonging to the selected division. Once you have selected a division, you can view the details of the division by clicking the name of the division displayed next to the box. For more information, see Viewing division cards.
Cost center group
Select the cost center group, and then type or select the subgroup display the report of people in the specific cost center group.
Cost centre
Type or select the cost center code to display the report of people belonging to the selected cost center. Once you have selected a cost center, you can view the details of the cost center by clicking the name of the cost center displayed next to the box. For more information, see Creating and modifying cost centers.
Contractual location
Type or select the contractual location of the people.
Contractual location: Country
Type or select the country of the contractual location.
Physical location
Type or select the physical location of the people.
Physical location: Country
Type or select the country of the physical location.
Job group
Select the job group to display the report of people belonging to the selected job group.
Job activity
Type or select the job group code to display the report of people belonging to the selected job activity. Once you have selected a job activity, you can view the details of the job activity by clicking the name of the job activity displayed next to the box. For more information on job activities, see Viewing job activities.
Layout
Select Monthly, Quarterly, or Half-yearly to define the layout of the report.
Date
Type or select a date or range of dates for the report.
Group by
Select a grouping option for the report. You can select up to two options at any one time. The following options are available:
- Group
- Division
- Cost center group
- Cost centre
- Job group, Job activity
- Job title
- Contract type
- Gender
- Contractual location
- Employee type
- Age – This option is available only if you have function right 158 – View resources reports.
Show
Select one check box or more to display the report based on the selected options. The following options are available:
- Headcount – Select this check box to display all headcounts.
- Headcount: Active – Select this check box to display active headcounts only.
- Headcount: FTE = 1 – Select this check box to display the headcount with FTE = 1. For example, full time resources. For more information, see Creating and modifying entries for people.
- Headcount: FTE < 1 – Select this check box to display the headcount with FTE < 1. For example, part time resources. For more information, see Creating and modifying entries for people.
- Inflow – Select this check box to display the number of new resources.
- Outflow – Select this check box to display the number of people who have resigned.
- Flow – Select this check box to display the total number of inflows and outflows.
- Vacancy: Open – Select this check box to display the total number of open vacancies. This total takes into account the number of employment for the same vacancy itself.
- Vacancy: Fulfilled – Select this check box to display the total number of fulfilled vacancies. This total takes into account the number of employment for the same vacancy itself.
