InterConnect for Macola Configuration: Free Field Configuration

When configuring a free field for InterConnect, you can change its label; enable or disable it for use; change its data type; set security for changing and viewing it; add a default; and add values to it. Using free fields is optional and if you choose to use them, you can configure them in a variety of ways.

How to Configure a Free Field

Note: Before you can configure a free field, you must initialize the free fields. Refer to Defining Free Fields.

  1. On the InterConnect menu page, click Setup.

  2. Under the Back office: heading, click the Free fields link. The back office database tables with free fields are shown in the list:

  3. Click one of the Descriptions to see the free field names.

  4. Click the first free field in the Name column. This shows the free field configuration page:

  5. When you are finished configuring the free field, click the Save button. If you want to cancel the changes without saving, click the Close button.

The following table describes the options for configuring the free field:

Field Description
Division This shows the currently selected division. If you have more than one division, it can be selected on the Free Fields page.
Table This is the back office database table name that has the free field. This is a link back to the list of free fields for the database table.
Field This is the name of the field in the back office database table. You cannot edit this field.
Label Enter a name for the free field. This label appears with the free field on every page that uses it in InterConnect. The label can be 30 characters long.
Term Enter the term ID for the field. The term is a translated word or phrase that has a particular meaning. You can use this if you are using Synergy Enterprise in languages other than English.
Enabled Select this check box to enable the free field on InterConnect pages. If you clear this check box, the field will not be enabled.
Data Type There are two choices: String and Number. Select string to be able to enter any characters in the free field shown on the screen. Select number to be able to enter only numbers in the free field.
Security Level: View Select the security level required to view the free field in InterConnect. If you select internal for the free field, everyone with a security level lower than 10 (for example, customers and partners) will not see the free field on the page, even if they can view the page.
Security Level: Edit Select the security level required to make changes in the free field in InterConnect. If you select internal for the free field, everyone with a security level lower than 10 (for example, customers and partners) will not be able to use the free field on the page, even if they can use other fields on the page.
Default Enter a default value for the free field.
Link URL If you want the free field to be a link to another page, enter the page URL.
Values (Separator=;) If you want the free field to have multiple values so a user can choose one, enter the values separated by semicolon (;).

Example Configuring the Order Header User Defined Field 1

This example shows how to modify the user defined field 1 on the order header. The field will be delivery day with a drop down list of days to choose.

  1. On the InterConnect menu page, click Setup.

  2. Under the Back office: Macola Progression heading, click the Free fields link.
  3. The back office database tables with free fields are shown in the list:

  4. In the Descriptions column, click the Sales order: Header link to see the order header free fields.

  5. In the Name column, click the user_def_fld_1 link. This shows the free field configuration page for user_def_fld_1:

  6. Change the Label to "Delivery day choice".
  7. In the Default, enter "Monday".
  8. In the Values (Separator=;) field, enter: Monday;Tuesday;Wednesday;Thursday;Friday. Separate the values with semicolons, but not spaces.

  9. When you are finished configuring the free field, click the Save button.

Using the Configured Order Header Free Field

On the InterConnect Orders page, click the New button to create a new quote.

In the Order Information section, you can see the modified free field, now called "Delivery day choice" with a drop down list of values.
