How-to: Using the Synergy Office Integration in new Microsoft Outlook

Introduction

Synergy Office Integration (SOI) provides a closer integration between Exact Synergy Enterprise and Microsoft Outlook. With SOI deployed, you can access Exact Synergy Enterprise and all its related functions using Outlook. This document applies to the integration between Exact Synergy Enterprise and the new Outlook.


This side panel contains buttons and icons to work with Exact Synergy Enterprise. You will need to log out and log in again when you use any features related to Exact Synergy Enterprise. Read the explanations of the buttons and icons in the side panel below:

How do I login to Exact Synergy Enterprise in Microsoft Outlook? 

  1. Click on the Exact icon in Outlook's Reading pane
  2. The following login prompt will be displayed:
  3. Fill in your user name and password (that you use to log in to the Exact Synergy Enterprise portal).
  4. Click OK. Once successfully logged in, you will be able to access the Exact Synergy Enterprise features.

How do I access the Exact Synergy Enterprise features?

You can access various Exact Synergy Enterprise features via the following buttons:

Synergy Office Integration side panel

Click the Exact icon in Outlook's Reading pane, and click More. This opens the SOI side panel.


My Work

When you click the My Work section, a list of options will be displayed for your selection. See the following for an example:





When you click My documents for example, the My documents screen will be displayed in an Outlook dialog window.

Note: The options available for selection are dependent on the settings in the My work and My work, create & search sections in the Menu tab at System > Setup > Settings – General > Preferences in Exact Synergy Enterprise, or at the Synergy Office Integration side panel > Settings in Outlook.

Create

When you click this section, a list of options will be displayed for you to select which entity that you want to create. See the following for an example:




When you click the Request button for example, the Request: New screen will be displayed in an Outlook window for you to create a new request.

Note: The options available for selection are dependent on the settings at System > Setup > Settings – General > Preferences in Exact Synergy Enterprise. Then go to Menu > My work, create & search. You can also do this at the Synergy Office Integration side panel > Settings in Outlook.

Reports

When you click this section, a list of options will be displayed for you to view the reports available for the selected module. See the following for an example:




When you click HRM for example, the Reports tab of the Menu: HRM screen will be displayed in an Outlook window.

Note: The options available for selection are dependent on the settings at System > Setup > Settings – General > Preferences in Exact Synergy Enterprise, then go to Menu > Modules. You can also do this at the Synergy Office Integration side panel > Settings in Outlook.

Save





You can upload an email message with its attachment(s) to Exact Synergy Enterprise as a document with one or more attachment by clicking the Save or Save as buttons. Once you have saved the email message to Exact Synergy Enterprise, the Save as button will be disabled. For more information, see How-to: Opening and saving emails in Microsoft Outlook.

View



When you click this, the saved email message in Exact Synergy Enterprise will be displayed . This button is enabled for the selected email that has been saved to Exact Synergy Enterprise. However, if the saved email message is deleted from Exact Synergy Enterprise, this button will be disabled for the selected email.
