Main screen
Title bar
The name and the number of the 'Opened Company' or the active company will be displayed in the title bar at the top of your window.
Menu's
In Exact Financials every application has its own menu. The different applications and menu's are:
- Finance
- System
- Assets
- Budget
- Sales
- Purchase
- Project
- EDIS
You change from one menu to another by following the next procedure:
- Select [File, Menu] in the menu bar.
- Select the desired menu. The menu will be displayed and you will have the possibility to select a function.
Example:
You are in menu [Finance]. This is the menu that belongs to the Finance application. You want to open the function [Depreciation, Depreciate assets]. This is an option in menu [Assets]. Select first [Menu, Assets], hereafter [Depreciation, Depreciate assets].
There is this possibility to use the keyboard instead of the mouse. All menu's have hotkey's, namely the underlined characters in the different menu's and menu items. If you press the <Alt> key, characters in the menu labels will become underlined. In case you press the <Alt> key in combination with the underlined character from the menu label, the relevant function will be selected. In dialogue screens you are able to evoke almost all commands, without using the mouse, by means of the keys in combination with <Tab>,<Enter>,Esc> and the cursor navigation keys. Example:
To activate the [Menu, Budget] menu, press <Alt>+<F>, <M> and <B>. To activate hereafter [Master data, Maintenance, Budget versions], press <Alt>+<M>, <M> and <V>.
After selecting a menu, you can startup an application from the concerning menu.
- Click on the needed (main) function in the menu bar.
- The sub functions (sub menus) and programs under the main function will be displayed. Click on the needed function/program.
Functions will be followed by a triangle arrow. When selecting such a function, a new sub menu will be displayed. If there is no triangle arrow behind the description the program can be started immediately. In case you will start a program belonging to another menu than the actual (active) one, you have to select first the relevant function followed by the desired function.
Multi-Window
In Exact Financials Main screen you can startup different programs beside each other and open them. For instance you can have the screen 'Maintain: Financial entry: Purchase journal (Exact:621) [LJEP]' open to enter a purchase invoice and at the same time the screen 'Maintain: Creditor (Exact:621)[CMM]' to enter a new creditor. In the menu under the function <Windows> references to the open programs will be displayed automatically. By selection of a program [Windows, <program>] you will indicate which of the open programs you want to be shown active on the screen. In case more than one program is running at the time, you can switch between the active programs by using the Windows functionality of <Alt>-<Tab>.
On-line help and asking support from within the software
In the menu bar under the function <?>, you can start a number of programs which can support you during the activities in and around Exact Financials.
Content
In Exact Financials you can call for a tour by clicking on the question mark in the menu bar of the main screen, followed by 'Content'. The menu path [?, Content] is available in every application. Starting this program you will end up in the content of the manual for the concerning application. You can easily lookup for the right information by clicking the concerning title. Next manuals are available:
- System
- Finance (including fixed assets and budget)
- Project
- Sales Invoice
- Purchase
- EDIS
From within every program you can call the online help file by clicking on the 'Help' button. Most of the Help information you can call this way, is context-sensitive. This means the text displayed on the screen, gives information of the program that is active at that moment. In case you call the help text while no specific function is active, the index will be displayed.
System help
Choosing for [?, System help] you will get an overview of all available (main) applications, applications and modules. This overview is structured like the Exact Financials license. By clicking double on an application or module, information of the concerning module will be displayed.
Release Notes
You can call the release notes on-line by using [?, Release Notes]. The release notes inform you about the modifications in the version you use, compared to former versions. These modifications can be technical as well as functional. Of course you can use the button Release Notes on the desktop of the main screen as well.
Customer - Portal
Select [?, Exact Software - Customer Portal] for direct contact with the help desk and to fill in an online form with your questions which will be offered to the help desk. You will be contacted as soon as possible to offer you support.
Version
Select [?, About, Exact Financials] to consult the registered license data concerning Exact Financials and Progress. The version of Exact Financials and Progress will be shown.
Desktop
Recent
With the button 'Recent' you indicate that you want a list on your desktop in which the most recently opened programs (with their menu path) are displayed. Double clicking on a program in the list opens the menu path for the concerning program. In case you have this list on your desktop and want to remove it, click on the 'Recent' button again.
Favorites
Each maintenance function has a button 'Favorites'. With this button the menu path of the active program will be added to the list of favorites programs in the main screen. The list of programs is grouped by task list code, so you can distinguish the different categories of your favorites. When you choose the button 'Favorites' in a program, you will be asked for a task list. In case this task list does not exist, you can make it on site by option choosing 'New' via the search screen on the task list. These task lists are linked to a User-ID. These task lists can be maintained central via [System: Application, Favorites, Task lists, Maintenance]. An overview of your task lists can be requested in [System: Application, Favorites, Task lists, Report]. Once your favorite program is added to the list on the main screen, you can launch your favorite program directly, by double clicking on the function in the list of favorite programs.
Release Notes
Click on the button 'Release Notes' (with icon a light bulb with question mark) to view the Release Notes.
Status bar
The status bar at the bottom of the screen shows next fields:
Administration
First field at the left, shows the number of the active administration and the corrsponding description. You can switch to another administration by using the menu path [File, Open company].
User
Next to the active administration, the User-ID of the user who is logged in is shown.
Printer Portrait
On the right side of the User-ID the active printer for portrait printing is displayed. In case you want to change to another printer, you can use [File, User preferences].
Printer Landscape
Next field shows the active printer for landscape printing. In case you want to change to another printer, you can use [File, User preferences].
Currency
On the right side of the printers is the currency code of the default currency in the active administration displayed.
