Financial statements

In Exact Financials C/S, you can generate various financial statement overviews. How the information is organized and displayed, is determined by the following factors:

In Exact Finance C/S the following statements are available:

  • Trial balance sheetdisplays debit and credit amounts per general ledger account
  • Balance sheet and profit & loss statement - displays balance sheet and profit & loss statement.
  • Classified balance sheet - displays balance sheet with subtotals per classification and sub-classification.
  • Extensive balance sheet - displays debit and credit amounts per g/l account with subtotals per classification and sub-classification.
  • Structured balance sheet - displays user defined g/l accounts with user defined subtotals according to the user defined structure

Financial statements with a flexible layout

The following financial statements, do use a flexible layout system:

  • [Ledger, Financial statements, Extensive balance sheet]
  • [Ledger, Financial statements, Structure balance sheet]

The entry screens for these financial statements are basically the same. To be able to use these statements, you need to create a layout first. These layouts can be created in [Management, Application, Layout maintenance, Report layouts] in the System menu. You do not need to define all the layouts yourself. There are some predefined layouts supplied with the package.

  • The entry screens for these financial statements may differ a little. Below, the fields that will appear are described.

Layout

Select the layout you want to use for this overview.

'Details' button

When you click this button, layout details will be shown to you. In the upper box, details on the layout like layout name, layout width and it states whether the report will be printed landscape or portrait. In the other box, the fields that are included in the layout are displayed.

Financial year

Select the financial year for the overview.

Period

Enter a period or a range of periods that you want to include in the overview.

Precision

Enter the precision of the amount in the overview.

Balance sheet/P&L

Select whether you want to see a balance sheet or a profit and loss statement.

Currency

Select the currency of the overview.

Budget version

It is possible to include a budget version in the overview. However, you need to include this budget version in the layout.

Preferences

Enable 'Only selected periods for balance sheet' when you only want to include period figures in the balance sheet. Enable 'Only accounts with a balances' when you do not want to see accounts without balance on your balance or profit and loss sheet.

Press 'OK'. The overview will now be shown to you. The layout and the budget version will be shown in the header as well as the currency and the exchange rate. The labels of the formulas and the description of the fields will be used as labels for the columns. For each ledger account there is a possible to 'Zoom'. When you zoom for the first time the transaction for the ledger account will be shown. When you zoom a second time, you will see the general ledger card.

This overview works basically the same as the four described above. The main difference is that, you will fist need to create a structure to be able to retrieve this financial statement. See Creating structures

A structure balance sheet can be created for cost units, cost centers and ledger accounts.

Additional fields in the entry screen are:

Report code

Enter a report code. See Creating report codes

Base level

Select a base level. This is optional. When you have linked more base levels to a report code, you can let this field blank to show all report codes. See Creating base levels

Levels to show

If you enter 1, only one level will be shown. When there are more levels, it is possible to zoom. When you select 2 or more, the levels will be shown. An * means that the entity shown is on the lowest level.

Troubleshooting

  • The balance of the current year is not the same as the profit for the current year. What should I do?

    You should include period 0 in the overview.
