InterConnect for Macola Configuration: Defining the Various Request Types

There are several Request Types that should be created before you can configure InterConnect for Macola. You can select an existing request type during configuration; however, for clarity and security purposes, you should create the new request types as specified depending on the features you intend to use. Alternately, you can modify existing request types to match the requirements defined below.

How to Define Request Types for InterConnect

  1. Navigate to Workflow > Setup > Request Types.

  2. Click New. The Workflow: New - Request Type page opens.

  3. Navigate through the available fields on the General, Fields, Flow, and Actions tabs and use the information in the tables below to ensure that the required fields on the tabs are defined as specified.

Quote Module Request Type

Create (or modify) a request type as needed if the Quote Module will be implemented.

Option Definition
Request Type: New Create Convert to Order request definition. It can have any number of steps in the definition, but one step must be assigned to the person or role that is responsible for converting quotes to orders in the back office. Save the request type and edit it as defined in the rows below.
Person (Required Field) Enable the Person field.
Account (Required Field) Enable the Account field.
Contact (Required Field) Enable the Contact field.
Document (Required Field) Enable the Document field. Label the field Quote Document.
Sales Order(Required Field) Enable the Sales Order Number field.
Optional Fields Add additional fields as required for Convert Quote to Order such as, project, remarks etc.

Purchasing Module Request Type

Create (or modify) a request type as needed if the Purchasing Module will be implemented.

Option Definition
Request Type: New Create a request for a purchase order (for example: Purchase Request). It can have any number of steps in the definition, but one step must be assigned to the resource or role that is responsible for releasing and printing purchase orders in the back office. Save the request type and edit it as defined in the rows below.
Person (Required Field) Enable the Person field.
Account (Required Field) Add the Account field. (Example: you can label this "Vendor".)
Item 1 Add the Item 1 field. This is the item to be ordered and will become the line item on the purchase order. (You should make this a required field.)
Quantity 1 Add the Quantity 1 field. This is the amount to order. (You should make this a required field.)
Purchase Order Number Add the purchase order number. When adding the field, under the Visible heading, clear the New and Open check boxes. Under the Edit heading, clear the Open check box. InterConnect populates this field with the purchase order number when the purchase request has been approved.

Also, when defining the purchase request, click the Actions tab. In the Process section, set the Status: Before field and the Status: After field. Once request is in the 'Status: Before' stage, it will appear in the Purchase Agent monitor.

Phone Queue Request Type

Create or modify a request type as needed if the Phone Queue will be implemented. There are five required fields; other fields are optional based on your company preferences.

Option Definition
Request Type: New Create a single step request type. Save and edit the request type as defined in the rows below.
Person (Required Field) Enable the Person field. Set Visible to All; Edit to Open; Mandatory to All; and Default to Current.
Description (Required Field) Enable the Description field. Set Visible to All; Edit to Open; and Mandatory to All.
Account (Required Field) Enable the Account field. Set Visible to All. Note: The Account field should be set up so that it cannot be edited if you plan to use this request only from the phone queue link.
Contact (Required Field) Enable the Contact field. Set Visible to All and Edit to Open. Note: This field should have the Account check box selected for Dependency.
Free: Date 1 (Required Field) You must use Free Date 1. For example, label this field Next Follow-up Date. Set Visible to All and Edit to Open and Approved.
Optional Fields Add additional fields as required for phone queue communication notes, such as project, current activity, next steps, etc.
Note Free GUID fields are not currently supported on the Phone Queue request, so do not add them to this request definition.

Customer, Supplier, and Contact Phone Queue

Enable and name free fields for the Customer Card, Supplier Card, and Contact Card if the Phone Queue will be implemented. These free fields are on the Customer Setup menu:

Option Definition
Free Fields - Accounts
Date 1 Enable the Date 1 field. For example, label this field Next Follow Up for Account. (Selecting 10, 20, 0r 30 on the Phone Queue page changes the date in this field on the Account Card.
Free Fields - Contacts
Date 1 Enable the Date 1 field. For example, label this field Next Follow Up for Contact. (Adding or changing the contact date on the Phone Queue page changes the date in this field on the Account Card.)
Yes/No 1 Enable the Yes/No 1 field. For example, label this field In Phone Queue.

When you enter or change customers or suppliers and want to use them in the phone queue:

  1. Customize the Account card.
  2. Select the check box for the Phone Queue. This is in the General section.
  3. Select the check box for the Free Fields section.
  4. Select the check box for the next follow up date field.
  5. Save and close the customize page.

When you enter or change contacts and want to use them in the phone queue:

  1. Customize the Contact card.
  2. Select the check box for the Free Fields section.
  3. Select the check box for the in phone queue.
  4. Select the check box for the next follow up date field.
  5. Save and close the customize page.
