Creating and modifying opportunity cards

Menu paths

  • To create opportunities, go to Modules Customers Entry Entry Opportunity.
  • To modify opportunities, go to Modules Customers Report Opportunity management Search, define the relevant criteria, and then click Show. Click the relevant opportunity in the Opportunity: Description column, and then in the opportunity card, click Edit.
  • To delete opportunities, go to Modules Customers Report Opportunity management Search, define the relevant criteria, and then click Show. Click the relevant opportunity in the Opportunity: Description column, and then in the opportunity card, click Edit. In the opportunity maintenance screen, click Delete.

Introduction

An opportunity is a business lead within the sales cycle that has the potential to generate revenue for the company. The opportunity master data in the opportunity card contains the information related to the sales cycle, such as the source of the opportunity, the planned and realized sales amount from that opportunity, and the probability of winning a business contract with the opportunity. Such information provides a detailed insight to a sales person who is currently involved in the sales cycle. The information is also useful for generating reports that present an overview of the current sales cycle progress.

To create an opportunity, go to Modules Customers Entry Entry Opportunity. After entering the information of the opportunity, click Save. After saving the opportunity information in Exact Synergy Enterprise, the first request linked to the sales cycle is created automatically. The workflow request is equivalent to a sales activity at a particular stage in the sales cycle. A sales cycle is always linked to the opportunity card because there is at least one sales activity involved when a business opportunity is being explored or developed further. Thus, there is at least one request generated when an opportunity is created.

After creating an opportunity, the sales cycle starts. Throughout the sales cycle there will be a need to update the opportunity card with the latest information. Information that is determined by the sales cycle is updated automatically, for example, the sales cycle stage and the opportunity status. Other information is updated manually, for example, the probability of winning the opportunity.

To modify the opportunity information, go to Modules Customers Report Opportunity management Search, and then click the relevant opportunity in the Opportunity: Description column. In the opportunity card, click Edit. The opportunity card holds important information, so only the users with the following access rights are allowed to modify and delete the opportunity card:

  • The user is the creator of the opportunity.
  • The user is the owner of the opportunity.
  • The user is the manager of the opportunity owner.
  • The user is the current actor of the request which is part of the workflow for that opportunity, if the actor accesses the opportunity from that request. This also includes people who are included in the request through the Assume, Assign, and Remark functions. For more information, see Creating and modifying requests.

Roles and rights

Everyone can create, modify, or delete opportunities.

What version are you using?

The information in this document is applicable to product update 264 and higher. If you have versions lower than this, certain features explained here will not be applicable.

How do I create opportunities?

  1. On the CRM: Opportunity – New page, define the fields.
  2. Click Save to create the opportunity. Click Save + New to create another opportunity.
  3. Click Close to exit.

Keep in mind: All fields marked with the “!” icon are mandatory.

How do I modify existing opportunities?

  1. On the Opportunities – Search page, define the criteria.
  2. Click Show.
  3. Click the required opportunity hyperlink in the Opportunity: Description column.
  4. Click Edit. Make the relevant changes.
  5. Click Save, and then Close to exit.
