How-to: Importing and exporting configuration data and creating templates with Templating Tool

Introduction

The TemplatingTool.exe configuration tool provides you with a reliable method to export configuration data such as request types, document types, individual documents, CRM, and opportunities from an Exact Synergy Enterprise environment and import the configuration data to another. All hyperlinks between the configuration data are retained during the export and import process.

Roles and rights

To import and export configuration data with the templating tool, users must have the Administrator role and access to the bin subfolder or the program installation folder.

Description

The templating tool to import and export configuration data, TemplatingTool.exe, is available in the bin folder of the installation folder; for example, C:\Program Files\Synergy\bin.

Exporting configuration data

  1. Double-click TemplatingTool.exe in the BIN folder. The Templating Tool: Language selection screen will be displayed.
  2. Select a language and then click OK. The following screen will be displayed:
  3. Select the Export configuration data from Exact Synergy Enterprise into a template? option and click Next. The following screen will be displayed:
  4. Type the server name at Server. A list of databases will be displayed at Database. Select a database and then click Next. The following screen will be displayed:
  5. Select Create a new template file(it will be saved in bin folder) to create an export template file and type a name for the file. Otherwise, select Append to an existing template file and browse to retrieve an existing template file that was saved earlier. Click Next. The following screen will be displayed:
  6. Select the Workflow, Documents, Accounts, or Opportunities category and then select the subcategory of the selected category to export the configuration data of the selected subcategory. Select the configuration data that you want to export. You can also type your remarks for the template at Notes on this template file.
  7. Note: If you are exporting a new template file for the configuration data for the CRM and/or Opportunities category, all the configuration data will be saved into the template. For existing templates that contain the configuration data, the configuration data selected will be appended to the existing list in the template, and a message "A <configuration data> <code>-<description> already exists in the template file. Do you want to overwrite with <code>-<description>?" will be displayed. Click Yes to add the existing configuration data to the template or No if you do not want to add the existing configuration data to the template.

  8. Click Next. The following screen will be displayed:
  9. Click Export to export the configuration data selected. The following screen will be displayed:
  10. Click Next to view the results of the exported configuration data. The Review the results of export screen will be displayed.
  11. Select the Display the export log file check box if you want to keep the export log file for reference. Click Close to exit the templating tool.

Note: The log file created can be found in the program installation folder and the file name of the log file will be "ConfigurationTemplate_<date>_<time>.log".

Importing configuration data

  1. Double-click TemplatingTool.exe in the BIN folder. The Templating Tool: Language selection screen will be displayed.
  2. Select a language and then click OK. The following screen will be displayed:
  3. Select the Import configuration data from a template into Exact Synergy Enterprise? option and then click Next. The following screen will be displayed:
  4. At Template file, browse and select the configuration data file that you want to import. Click Next to proceed. The following screen will be displayed:
  5. At Server, type the server name. Then, select the database from which you want to import the configuration data at Database and click Next. The following screen will be displayed:
  6. You can remove the workflow, documents, accounts, and/or opportunities configuration data from the template by clearing the icon in the check box(es). Next, click Import to import the configuration data. The following screen will be displayed:
  7. Note: If the configuration data for the Accounts and/or Opportunities category in the template does not exist in the Exact Synergy Enterprise environment, the configuration data will be added into Exact Synergy Enterprise. However, if the configuration data exists in the Exact Synergy Enterprise environment, a message "A <configuration data> <code>-<description> already exists in the target environment. Do you want to overwrite with <code>-<description>?" will be displayed.

  8. Click Next to proceed after importing the configuration data. The following screen will be displayed:
  9. Select the Display the import log check box if you want to keep an import log file for reference. Click Close to exit the configuration tool.

Note: The log file created can be found in the program installation folder and the file name of the log file will be "ConfigurationTemplate_<date>_<time>.log".

Importing best practices into Exact Synergy Enterprise

This option allows you to import the best practice file into Exact Synergy Enterprise. However, only the best practice files that have been certified by Exact can be imported.  

  1. Double-click TemplatingTool.exe in the BIN folder. The Templating Tool: Language selection screen will be displayed.
  2. Select a language and then click OK. The following screen will be displayed:
  3. Select the Import best practices into Exact Synergy Enterprise option. Click Next. The following screen will be displayed:
  4. Select the zip file that you want to import. Click Next. The error message "This best practice template is not validated by Exact and therefore cannot be imported. Only templates validated by Exact can be imported" will be displayed if the best practice file selected is not certified by Exact. The following screen will be displayed:
  5. At Server, type the server name. Then, select the database from which you want to import the configuration data at Database and click Next. The following screen will be displayed:
  6. Select the file(s) that you would like to import. Click Next. The following screen will be displayed:
  7. Select the configuration data. Click Next. The following screen will be displayed:
  8. Click Import to continue. The following screen will be displayed:
  9. Click Next. The following screen will be displayed:
  10. Select the Display the import log check box if you want to keep an import log file for reference. Click Close to exit the configuration tool.

Note: The log file created can be found in the program installation folder and the file name of the log file will be "ConfigurationTemplate_<date>_<time>.log".
