Enter a unique code for the asset. Once saved, this information cannot be modified. In the box next to it, enter a description for the asset.
Enter an asset set that you want to link to the asset.
Select the asset type. You can select one from the following options:
Select the currency in which the asset is purchased.
Enter the purchase price of the asset.
Enter the date of purchase of the asset. By default, the system-generated date will be displayed. This date is used by the depreciation formula for the depreciation to be generated. When entering a bulk asset, several items are created immediately after entering the quantity.
Note: This field is filled with '1' if the asset belongs to an asset set with type selected as {One piece} and cannot be changed.
Enter the date that the asset will start to be used.
Enter the actual quantity of the asset. Depreciation amounts are calculated per asset.
Enter the number of production units that the asset can be produced after activating. When the number of production units is not used in one of the linked depreciation methods to calculate the depreciation amounts, you can leave this field empty. This field can be used in the depreciation formula to calculate the depreciation amount.
Enter the supplier of the fixed asset. Creditors created in [Finance: Creditors, Master data, Maintenance] can be selected. If you purchase an asset through the purchase journal in Exact Finance, the creditor number is automatically filled based on the data of the purchase entry.
Enter the invoice number of the purchase invoice of the fixed asset. If you purchase an asset through the purchase journal in Exact Finance, the invoice number is automatically generated based on the data of the purchase entry.
Enter an insurance value of the fixed asset. This field can be used in the depreciation formula.
Enter the amount for which the fixed asset is subsidized (in the presented currency). This field can be used in the depreciation formula.
Enter a department that the asset belongs to. This information is mandatory if you have selected the 'Department is mandatory' check box in [Assets: File, Asset settings, General].
Enter the location of the asset. This information is mandatory if you have selected the 'Location is mandatory' check box in [Assets: File, Asset settings, General].
Enter the owner of the asset. This information is mandatory if you have selected the 'User is mandatory' check box in [Assets: File, Asset settings, General]. If the check box is selected, the name of the person who is logged in will automatically be filled in by default.
Enter the cost center that the asset belongs to. This information is mandatory or optional depending on the selection in the 'Cost center' field on the 'Process' tab in [Finance: File, Company settings, Financial preferences]. If {Off} is selected, this field will be disabled.
Enter the cost unit that the asset belongs to. This information is mandatory or optional depending on the selection in the 'Cost unit' field on the 'Process' tab in [Finance: File, Company settings, Financial preferences]. If {Off} is selected, this field will be disabled.
You can click the 'Add' button to add asset books to the asset or 'Delete' button to remove the asset books from the asset.
Matrix for data entry
Select the asset book to be linked to the asset. By default, the asset books linked to the asset set that is linked to this asset will be added.
Enter the year that the asset will start to depreciate.
Enter the first period that the asset will start to depreciate.
Enter the year to specify the remaining life span of the asset.
Enter the period to specify the remaining life span of the asset. The number of periods that you can enter is dependent on the calendar. If you have linked a calendar with four periods, an input of two remaining periods means that the asset will be depreciated until half of the year. If a calendar has twelve periods, an input of two periods means the asset will be depreciated until February.
Enter the depreciation basic amount in the default currency. This column can be used in the definition of the formula. By default, the purchase price in the displayed currency will be displayed. If your fiscal and you business economical basic amount are not the same (depending on local regulation), you can enter a basic amount that is not equal to the purchase price.
Enter the salvage value in the displayed currency. This column can be used in the depreciation formula.
This column displays the amount that will be depreciated in the first period of the estimated life of the asset. This amount is calculated automatically based on the data entered. The amount of the first depreciation is calculated according to the depreciation method of the linked asset set and the calendar linked to the selected asset book. This calculated amount gives the possibility to check if the depreciation formula you created is defined to your preference.
Note: This column is enabled to allow you to enter the amount for the first depreciation if you have selected the 'Manually update amount first depreciation' check box in [Assets: File, Asset settings, General]. In this case, only the first period of the asset will follow the depreciation amount that you have entered. The other periods will be calculated according to the defined formula.
You can click the 'Add' button to add the maintenance details of the asset or 'Delete' button to remove the maintenance details added.
Enter the latest date when the maintenance of the asset is performed, if any.
Enter the maintenance cost of the asset for the respective date.
Enter the date when the next maintenance will take place.
You can click the 'Add' button to link projects to the asset or 'Delete' button to remove the linked projects.
Select the project that you want to link to the asset.
Select the cost category that you want to link to the asset.
Select the cost center that you want to link to the asset.
Enter the percentage value that will be recorded in the financial entries of the project when the asset depreciates.
By selecting this check box, you indicate that you want to suspend or stop the depreciation of the asset. Do not select this check box if you want to continue depreciating the asset.
Enter the date that the suspension will be valid from.
Note: This field is enabled if you have selected the 'Suspended' check box.
Enter the date that the suspension will be valid until.
Enter additional notes about the asset.
Select a property for the asset. You can create properties by clicking the 'New' button in [Finance: Tables, Maintenance, Properties].
Enter a value for the selected property for the asset.
You can click the 'Add' button to link documents to the item or 'Delete' button to delete the documents that have been linked.
Select an external category of the document to be linked to the item. You can create external categories in [System: Setup, Documents, External categories, Maintenance].
Enter a description of the linked document, if required.
Enter the full path or URL of the document. The path in the 'Fixed location' field on the 'General' tab in [System: Setup, Documents, External categories, Maintenance] if defined, will be filled in by default. Then you will only need to enter the remaining path.
