Additional functions to change
contracts
There are 3 programmed functions to
change calculated price for the contract
Standstill
A reason to edit a contract can be a stand still of
equipment. This is also an
activity that has to be supported by the system because it involves a lot
of data and might have consequences for the invoicing process.
Rental stand still: If the standstill button is pushed
the following data has to be entered:
In the screen a standstill "Conformation number" is
generated.
The employee has to fill in de fields Dates, time, Amount,
separate invoice, Reason code and reason call of
Date and time
fields are not pre filled with the current date and time.
The reason
codes are the serial numbers of the item "reason codes" that is defined in
the rental settings section "contracts"
Swap
One of the unfortunate events that can occur during a
rental period is a breakdown of the equipment. This, or maybe for other
reasons, may confront us with the necessity to swap the equipment at the
customers site.
Swapping is an activity in which a lot of data has to be
collected. Therefore selecting the contract line that has to be swapped
and clicking on the button ‘Swap’ can access a special screen.

If the Swap button is clicked the following data has to
be entered:
This will create the following lines
Line 3 needs to be called off manually (see call of
functionality)
Call off
The
call off of a contract, or contract line is an important activity. The
call off date that that is entered will be leading for the end date of
invoicing and will be used in the planning to base the ‘next available
date’ on. For short-term rentals and to be able to invoice parts of a
day,
the actual time is also taken into account.
Because of the importance of this activity, this customer contact
has to be entered in the system and a confirmation number is generated by
the system. This number authorises the call off.
After selection of the rental line that is called off,
the call off button is clicked. The following data has to be entered:

generated.
The employee has to fill in de fields Dates, time, contact
and Reason call off
Date and time fields are pre filled with the
current date and time.
If
in the call off screen the “Save & Transport“ button is pushed a
transport line can be created for the return of the equipment (return
functionality).
