Overview of sales and Return to Merchant Authorization (RMA) orders to be confirmed

Introduction

Exact Globe Next enables you to print and e-mail sales or Return to Merchant Authorization (RMA) order confirmations to customers. The process of confirming sales or RMA orders ensures that the items have been registered correctly.

The sales or RMA order confirmation is an optional process. For sales orders, the confirmation depends on the settings for the debtor at Finance ➔ Accounts receivable ➔ Maintain, click Open or New, in the Logistics tab (under the General section if the Simple button is clicked) or Financial tab (under the Sales order - Invoice section if the Advanced button is clicked). If the Confirm sales order box is set to Yes, then the sales order confirmation becomes mandatory. However, this can be changed for each sales order at Order ➔ Entries ➔ Sales orders (click Open or New, under Conditions) by selecting or clearing the Sales order confirmation check box.

For RMA orders, the confirmation depends on the settings at System ➔ General ➔ Settings ➔ Order settings, under the Confirm section. If the RMA order check box is selected, the RMA order confirmation becomes mandatory. However, this can be changed for each RMA order at Order ➔ Entries ➔ RMA orders (click Open or New, under Conditions) by selecting or clearing the RMA order confirmation check box.

Sales and RMA orders must first be authorized if you want to print them, unless the authorization of sales and RMA orders is made optional (at System ➔ General ➔ Settings, in Order settings under the Authorize section).

Fields

You can also filter sales or RMA orders that you want to display by defining the search criteria, and then clicking Search. The sales or RMA orders that match the search criteria you have defined are then displayed. A list of options will be displayed if you click  at Sales order/RMA order, Ordered by/Requested by, and other fields. From the list, select an item and click Select. 

Note: It is possible that not all columns are displayed. You can add or delete columns as required. For more information, see Inserting and deleting columns.

Search

Click this to search for entries based on the defined criteria.

Clear

Click this to clear the defined criteria.

Number of rows

Type the number of rows to be displayed in each screen. If you have set the default number of rows to 10, then 10 rows will be displayed. Therefore, if you have more than 10 rows listed, you will see the Previous and Next buttons.

Previous

Click this to return to the previous list of entries.

Next

Click this to display the next list of entries.

Sales order

Select this to display the search criteria and results for sales orders.

RMA order

Select this to display the search criteria and results for RMA orders.

Warehouse

Select the warehouse of the sales or RMA orders to be displayed. You can also search for sales or RMA orders with any warehouse by selecting All.

Note: This box is available only if you have E-Warehouse Management included in your license.

SO date/RMA date

This is the sales or RMA order date. SO date will be displayed if Sales order is selected and RMA date will be displayed if RMA order is selected. Type or select the date or date range in which the sales or RMA orders were created to search for sales or RMA orders with the selected date. You can also search for sales or RMA orders with any sales or RMA order date by selecting the All check box. By default, the All check box is selected.

Note: Typing or selecting only the start date will display sales or RMA orders that are created on or after the selected date. Typing or selecting only the end date will display sales or RMA orders that are created on and before the selected date.

Sales order/RMA order

Type or select the sales or RMA order to be displayed. Sales order is displayed if Sales order is selected and RMA order is displayed if RMA order is selected.

Ordered by/Requested by

Type or select the ID or name of the debtor who placed the sales or RMA order to search for sales or RMA orders with the selected debtor. Ordered by is displayed if Sales order is selected and Requested by is displayed if RMA order is selected.

Advanced/Simple

Click Advanced to expand the search criteria. You will see Invoice to, Delivery to/Delivery (From), Your ref., and Selection code.

Click Simple to hide the search criteria.

Invoice to

Type or select the ID or name of the debtor who will be receiving the invoice to search for sales or RMA orders with the selected invoice to debtor.

Delivery to/Delivery (From)

Type or select the ID or name of the debtor who will be receiving/sending the items to search for sales or RMA orders with the selected delivery to/from debtor.

Your ref.

Type the debtor’s reference number to search for sales or RMA orders with the selected reference number.

Selection code

Type or select the selection code of the sales or RMA orders to be displayed.

Show : to be printed

Select this check box to display all the sales or RMA orders which are not printed.

Buttons

Note

Click this to type a new note or to view the notes that are recorded for the sales or RMA order. For more information, see Creating and maintaining notes.

Note: This button is enabled only if a sales or RMA order is selected.

Attachment

Click this to attach a new document or to view the documents that are attached to the sales or RMA order. For more information, see Overview of attached documents.

Note: This button is enabled only if a sales or RMA order is selected.

Card

Click this to view the debtor’s transactions. For more information, see Viewing debtor cards.

Note: This button is enabled only if a sales or RMA order is selected.

Logbook

Click this to view the changes that have been made to the sales or RMA order.

Note: This button is available only if the Logbook check box is selected at System ➔ General ➔ Settings ➔ Order settings.

Note: This button is enabled only if a sales or RMA order is selected.

Print

Click this to print the sales or RMA order confirmation. For more information, see Printing sales order, Service order and RMA order confirmation slips.

Note: This button is enabled only if a sales or RMA order is selected.

Open

Click this to view or edit the selected sales or RMA order. For more information, see Creating and maintaining sales orders.

Note: This button is enabled only if a sales or RMA order is selected.

Close

Click this to exit.
