Authorizing blanket sales orders

Introduction

Authorizing blanket sales orders is used to check the blanket sales orders created before they are processed. However, authorization is an optional process as it depends on the settings at System ➔ General ➔ Settings, in Order Settings. If you have selected the Blanket order check box under the Authorize section, authorization becomes mandatory. Otherwise, the blanket sales orders created will be authorized automatically.

Only employees with the necessary rights defined at HR ➔ Human Resources ➔ Maintain or System ➔ HR & Securities ➔ Resources, in the Rights tab are allowed to authorize blanket sales orders.

Blanket sales orders must be authorized if you want to print the confirmations unless authorization is set as optional.

Fields

You can filter the blanket sales orders that you want to display by defining your search criteria and clicking Search. The blanket sales orders that match the search criteria you have defined are then displayed. A list of options will be displayed if you click https://eportal.exact.nl/docs/DocBinBlob.aspx?ID=%7bD4A34FDB-5BEE-49D7-9F26-2625AE343092%7d at Blanket order, Invoice debtor, and other fields. From the list, make your selection and click Select.

Search

Click this to search for entries based on the defined criteria.

Clear

Click this to clear the defined criteria.

Number of rows

Type the number of rows to be displayed for each screen. If you have set the default number of rows to 10, then 10 rows will be displayed. Therefore, if you have more than 10 rows listed, you will see the Previous and Next buttons.

Previous

Click this to return to the previous list of results.

Next

Click this to go to the next list of results.

Start date

Type or select the start date of the blanket sales order to display the blanket sales order with the selected start date. By default, the All check box is selected to display blanket orders with any date.

End date

Type or select the end date of the blanket sales order to display the blanket sales order with the selected end date. By default, the All check box is selected to display blanket orders with any date.

Blanket order

Type or select the blanket sales order number to search for blanket sales orders with the selected number.

Debtor

Type or select the ID or name of the debtor who placed the blanket sales order to search for blanket sales orders with the selected debtor.

Invoice debtor

Type or select the ID or name of the debtor who will be receiving the invoice to search for blanket sales orders with the selected invoice debtor.

Authorization

Select All to view all authorized and unauthorized blanket sales orders, Authorized to view only blanket sales orders that are authorized, or Not authorized to view blanket sales orders that are not authorized yet.

After defining the search criteria, click Search to display the blanket sales orders.

Note: It is possible that not all columns are displayed. You can add or delete columns as required. For more information, see Inserting and deleting columns.

Buttons

Note

Click this to add a new note or to view existing notes for the blanket sales order. For more information, see Creating and maintaining notes.

Note: If a note is already linked to the blanket sales order(s), you will see a green check mark under the Notes column.

Attachment

Click this to attach a new document or to view the documents that are attached to the blanket sales order. For more information, see Overview of attached documents.

Note: If a document is already attached to the blanket sales order(s), you will see a green check mark in the Attachment column.

Card

Click this to view the debtor’s transactions for the selected blanket sales order. For more information, see Viewing debtor cards.

Auth.

Click this to change the authorization status (to authorize or to remove authorization) for the blanket sales order. Once you click the Auth. button, a message "Change authorization status?" is displayed. Click Yes to change the authorization status or No to exit.

Note: A green check mark at the selected blanket sales order’s Auth. column indicates that the blanket sales order has been authorized.

Reject

Click this to reject the selected blanket sales order. Once you click Reject, you can send an e-mail to the resource who created the blanket sales order. Fill in the resource’s e-mail address and subject, and then click Send.

Delete

Click this to delete the selected blanket sales order. A message "Delete the data selected?” is displayed. Click Yes to delete the blanket order or No to exit.

Open

Click this to view or edit the blanket sales order. For more information, see Creating and maintaining blanket sales orders.

Close

Click this to exit.
