Viewing performance review profiles

Menu path

Go to HRM Reports ? People ? People, define the relevant criteria, and click Show. Click the name of the person under the Name column and then click the hyperlink at Performance review profiles. Depending on the scenarios, you may see different screens, as described in the following:

  • If you are the reviewer of the active profile or have the HR role, you will see the active profile.
  • If you are the direct manager of the employee and the reviewer of the active profile, you will see the active profile. If you are not the reviewer of the active profile and the status of the active profile is not Final, you will see the listing displaying profiles of which you are the reviewer as well as other profiles with the status equal to Final.
  • If you are not the reviewer of the active profile but a reviewer of other profiles for this employee, you will see the listing displaying profiles of which you are the reviewer. Click under the Review column for the profile which you want to review.
  • If you are not the reviewer of any profile and if the HRM general settings have been defined to allow you to view your own profiles as described in the Roles and rights section, you will see the active profile if the status of the active profile is Final. Otherwise, you will see a list that displays only profiles with the Final status.
  • If the person does not have an active profile, you will see a list of profiles. Click under the Review column for the profile of which you are the reviewer.

Introduction

On this page, you can view the performance review profile generated for the respective person. This feature is part of the Performance Review Management process, which is used to measure the performance of employees. With this, the management will be able to identify the training needs for the employees to achieve better results.

The process steps of Performance Review Management in Exact Synergy Enterprise are:

  1. Defining settings — The general or division settings need to be defined before this application can be used properly. For more information, see Defining HRM general settings or Creating and modifying divisions.
  2. Creating field types — Field types are settings of the ratings used to measure the competences, performances, or targets of applicants or employees. For more information, see Creating and modifying field types for competences, attributes, and targets of employees.
  3. Creating performance indicators — Indicators are skills that are required to perform the jobs. Indicators can be created before or after the performance review groups are created. For more information, see Creating and modifying performance indicators.
  4. Creating performance review groups — Performance review groups are set up to group the performance indicators into a main group. These indicators are used to rate the performance of the employees. Performance review groups can be created before the indicators are created. For more information, see Creating and modifying performance review groups.
  5. Linking performance indicators per job activity and level — Depending on skills and experience, certain employees in an organization may perform the same activity, but are at different job levels (similar to having junior and senior level positions). These employees may be reviewed on different indicators. For better maintenance purposes, it is possible to link the performance review group to a job activity, and then define which indicators are required or relevant for each job level.   6. Generating performance review profiles — When performance review groups have been set up, the manager or reviewer needs to generate the performance review profile and links the performance review profile to one employee or more. Once the profiles are generated, a message will be displayed where you can opt to have the performance review requests for the profiles to be generated at that point of time, or later on when the background job is performed.   7. Generating performance review requests — Once performance review profiles have been generated, performance review requests can be generated to notify reviewers to complete the review of the profiles. If there are profiles already generated but requests have not been generated for them and the background job has not been performed, it is possible to generate these requests manually.   8. Viewing and reviewing performance review profiles — Once performance review profiles have been generated, the profiles can be reviewed by the reviewers at the respective personal cards. For more information, see Viewing performance review profiles.

Roles and rights

  • To view the performance review profiles, function right 99 – View performance review is required. By default, users with the HR role have this function right. However, if you do not have the function right, you can view the profiles if you are the reviewer.
  • If you do not have the role or function right, and you are not a reviewer, you can view your own profiles if the Review: View profiles check box is selected under the Performance review section in the HRM general settings and if the status of the profiles is Final.

What version are you using?

The information in this document is applicable to product update 253 and higher. If you have versions lower than this, certain features explained here will not be applicable.

How do I review the employees?

Note: Different page will be displayed depending on your role and right. See the Menu path section for more information.

  1. On the HRM: Performance review page, click Edit.
  2. Under the Performance review section, define the scores or ratings.
  3. If the New personal objectives section is available, you can click to add objectives for the employee.
  4. Click Calculate to obtain the final rating, which will be displayed at Rating.
  5. Click Complete to save the profile and complete the review process. A message "See related request?" will be displayed.
  6. Click Yes to view the request, or No to return to the HRM: Performance review page in view mode.

How do I reopen performance review profiles that have been completed?

  1. On the HRM: Performance review page, click Reopen.
  2. Click Edit to modify the scores or ratings defined.
  3. Click Calculate to obtain the final rating, which will be displayed at Rating.
  4. Click Complete to save the profile and complete the review process. A message "See related request?" will be displayed.
  5. Click Yes to view the request, or No to return to the HRM: Performance review page in view mode.

How do I compare performance review scores of employees?

  1. On the HRM: Performance review page, click Compare.
  2. Define the required information.
  3. Click Compare.

How do I view the profiles listing?

  1. On the HRM: Performance review page, click Profiles. The HRM: Performance review profile page will be displayed.
