Overview of sales orders

Introduction

You can create or edit sales orders under E-Sales Order. Sales orders are created when orders are received from customers. On this screen, all the created sales orders are displayed, unless the sales orders are completed. From this overview, you can:

  • create and edit notes
  • view and/or add attachments to the selected sales order
  • view the debtor card of the customer
  • change the fulfillment date of the selected sales orders
  • create duplicate copies of sales orders
  • view the log based on the changes made to the selected sales order
  • delete the selected sales orders
  • create sales orders, or
  • modify existing sales orders. 

Fields

You can filter the sales orders that you want to display by defining your search criteria and clicking Search. The sales orders that match the search criteria you have defined are then displayed. A list of options will be displayed if you click at Sales order, Ordered by, and other fields. From the list, make your selection and click Select.

Note: It is possible that not all columns are displayed. You can add or delete columns as required. For more information, see Inserting and deleting columns.

Search

Click this to search for entries based on the defined criteria.

Clear

Click this to clear the defined criteria.

Number of rows

Type the number of rows to be displayed in each screen. If you have set the default number of rows to 10, then 10 rows will be displayed. Therefore, if you have more than 10 rows listed, you will see the Previous and Next buttons.

Previous

Click this to return to the previous list of entries.

Next

Click this to display the next list of entries. 

Warehouse

Select the warehouse of the sales orders you want to display. You can also search All warehouses.

Note: The Warehouse box is available only if E-Warehouse Management is part of your license.

SO date

This is the sales order date. Type or select the date or date range in which the sales orders were created to search for sales orders with the selected date. By default, the All check box is selected.

Note: Typing or selecting only the start date will display sales orders that are created on or after the selected date. Typing or selecting only the end date will display sales orders that are created on and before the selected date.

Sales order

Type or select the sales order to be displayed.

Ordered by

Type or select the ID or name of the customer who placed the sales order to search for sales orders with the selected ordered by customer.

Advanced/Simple

Click Advanced to expand the search criteria. You will see Invoice to, Delivery to, Your ref., and Selection code.

Click Simple to hide the search criteria.

Invoice to

Type or select the ID or name of the customer who will be receiving the invoice to search for sales orders with the selected invoice to customer.

Delivery to

Type or select the ID or name of the customer who will be receiving the items to search for sales orders with the selected delivery to customer.

Your ref.

Type the customer’s reference number to search for sales orders with the selected reference number.

Selection code

Type or select the selection code of the sales order to search for sales orders with the selected selection code.

Buttons

Note

Click this to type a new note or to view the notes that are recorded for the sales order. For more information, see Creating and maintaining notes.

Note: This button is enabled only if a sales order is selected.  

Attachment

Click this to attach a new document or to view the documents that are attached to the sales order. For more information, see Overview of attached documents.

Note: This button is enabled only if a sales order is selected.

Card

Click this to view the customer’s transactions. For more information, see Viewing debtor cards.

Change

Click this to change the fulfillment date of the sales order. For more information, see Changing fulfillment and receiving date for orders.

Note: This button is enabled only if a sales order is selected.

Copy

Click this to copy the details of an existing sales order to a new sales order. For more information, see Copying sales orders.

Logbook

Click this to view the changes that have been made to the sales order.

Note: This button is enabled only if the Logbook check box under Entry section is selected (in System ➔ General ➔ Settings, click Order settings).

Note: This button is enabled only if a sales order is selected.

Delete

Click this to delete the sales order. A message "Delete the data selected?" will then be displayed. Click Yes to delete the sales order or No to return to the sales order search criteria. A sales order which is already authorized, printed, invoiced, or delivered cannot be deleted. Once a sales order is deleted, it cannot be recovered. This button is enabled only if a sales order is selected.

Note: To delete the EDI sales orders, you will need to have function rights Delete sales orders and To maintain EDI entry. Those with only function rights Delete sales orders will not be able to delete the EDI sales orders when the Delete button is clicked and a warning message "No rights to delete the EDI order" is displayed.

Open

Click this to view or edit the sales order. For more information, see Creating and maintaining sales orders.

Note: This button is enabled only if a sales order is selected.

New

Click this to create a sales order. For more information, see Creating and maintaining sales orders.

Close

Click this to exit and return to the main menu.
