Creating and maintaining payment conditions in sales order audit trail report

Introduction

You can see this screen by clicking Payment in the Audit trail screen (go to Order/Statistics/Audit trail, and then click Display).

Description

Due

The payment due date of the sales order is displayed. This cannot be edited. 

Payment date

The date of payment made by the debtor for the sales order is displayed. This cannot be edited.

Note: The Payment date will be displayed once the invoice for the payment term has been generated.

Type the percentage of payment for the sales order. By default, the payment percentage displayed is based on the defined percentage in the % column in the conditions screen (go to Order/Entries/Sales orders, select the relevant sales order, click Open, and then click Conditions), under the Payment data section.  

Amount

Type the total amount of the sales order. By default, the amount displayed is based on the defined amount in the Amount column in the conditions screen (go to Order/Entries/Sales orders, select the relevant sales order, click Open, and then click Conditions), under the Payment data section.

Note: You only have to fill in % or Amount. If you fill in %, the value in Amount will change based on the defined value at %. If you fill in Amount, the value in % will change based on the defined value in Amount.

Cur.

The currency for payment for the sales order is displayed. The currency displayed is based on the Currency defined for the sales order in the conditions screen (go to Order/Entries/Sales orders, select the relevant sales order, click Open, and then click Conditions), under the Payment data section. This cannot be edited.

Days

Type the number of days for the debtor to be entitled to a discount for early payment. For example, if Days is “10”, the debtor will be entitled to a discount for settling the payment within 10 days. By default, “0” is displayed.

Discount

Type the amount of discount the debtor will be entitled to for early payment of the sales order. For example, if Days is “10” and Discount is “$100”, the debtor will be entitled to a discount of $100 for settling the payment within 10 days. By default, “0” is displayed. The currency displayed is based on the Currency defined for the sales order in the conditions screen (go to Order/Entries/Sales orders, select the relevant sales order, click Open, and then click Conditions), under the Payment data section.

Note: This box is enabled only if Days is greater than zero.

Cash instrument

The bank account where payment will be deposited is displayed. This is based on the Account number bank defined at System/General/Settings, under Company data settings in the Numbers section. You can create bank accounts at Cash flow/Cash instruments/Maintain. This cannot be edited.

Method

The method of payment is displayed. This is based on the Method defined for the sales order in the Sales invoice screen (go to Order/Entries/Sales orders, select the relevant sales order, click Open, click Conditions, and then click the Edit icon). This cannot be edited.

Debtor/Name

The name of the invoice debtor is displayed. This is based on the Invoice to debtor defined in the Sales orders screen (go to Order/Entries/Sales orders, select the relevant sales order, and then click Open). This cannot be edited.

Note: The Name box is displayed only for the Simple mode.

Address

The address of the invoice debtor is displayed. This is based on the Address 1 defined at the debtor maintenance (go to Finance/Accounts receivable/Maintain, select the relevant debtor, and then click Open), under the Basics tab. This cannot be edited.

Postcode

The postcode of the invoice debtor is displayed. This is based on the Postcode defined at the debtor maintenance (go to Finance/Accounts receivable/Maintain, select the relevant debtor, and then click Open), under the Basics tab. This cannot be edited.

City

The city of the invoice debtor is displayed. This is based on the City defined at the debtor maintenance (go to Finance/Accounts receivable/Maintain, select the relevant debtor, and then click Open), under the Basics tab. This cannot be edited.

The country code of the invoiced debtor is also displayed. This is based on the Country defined at the debtor maintenance (go to Finance/Accounts receivable/Maintain, select the relevant debtor, and then click Open), under the Basics tab. This cannot be edited.

To Cash instrument

The invoiced debtor’s bank account number is displayed. This is based on the Bank account defined for the invoiced debtor at the debtor maintenance (go to Finance/Accounts receivable/Maintain, select the relevant debtor, and then click Open), under the Financial tab in the General section. This cannot be edited.

Description

The description of the payment term is displayed. This cannot be edited.

Payment reference

The invoiced debtor’s payment reference for the payment term is displayed. This is based on the Your reference defined in the Sales orders screen (go to Order/Entries/Sales orders, select the relevant sales order, and then click Open). This cannot be edited.

Note: The payment reference displays the reference number of the invoice once an invoice has been generated for the payment term.

Blocked

Select this check box to block the payment term, and the payment term cannot be processed at Cash flow/Payments/Process.

Notes

Click the Notes icon to add notes to the payment term. For more information, see Creating and maintaining notes.

Button

Advanced/Simple

Click Advanced to expand the search criteria. You will see Method, Debtor, Address, Postcode / City, Description, Blocked, and Notes.

Click Simple to hide the search criteria.

Close

Click this to exit.
