Service Entries Service orders

Introduction

This screen allows you to create invoices, make prepayments, and invoice partial deliveries for service orders. Furthermore, additional information for service orders can be defined and confirmation of service orders can be made optional. There are also various functions that the service order conditions provide for every service order created, such as:

  • Viewing and editing the generated project for the service order.
  • Transferring of service items ordered from another warehouse.
  • Reserving the service items ordered.
  • Manufacturing the service items ordered.
  • Making purchases (back-to-back orders) for the service items ordered.

The information in this document is based on product update 405.

How do I view and/or edit service conditions?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.

How do I view the invoices and payment history of the invoiced debtor?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.
  6. Click Credit line under the Payment data section.

How do I make a partial payment for the service order?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.
  6. Click Prepayment under the Payment data section. For more information, see Prepayment for sales orders, service orders, and sales quotations.

Keep in mind: The Prepayment button is enabled only if a prepayment has not been made for the service order.

How do I match the prepayment for the service order?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.
  6. Click Match under the Payment data section. For more information, see Overview of entries to be matched.

Keep in mind: The Match button is enabled only if a prepayment has been made for the service order and the service order has been authorized, unless authorization of service orders is not required, and the person will need to have invoicing rights defined at the people maintenance (go to HR à People à Maintain, select the relevant person, and then click Open), under the Rights tab. Matching can be completed only if an invoice has been generated for the prepayment, and the generated invoice has been printed and processed.

How do I edit payment terms?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.
  6. Click Edit under the Payment data section. For more information, see Creating and maintaining payment conditions for sales orders, service orders, and sales quotations.

How do I delete payment terms?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.
  6. Click Delete under the Payment data section.

How do I generate an invoice for a service order?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.
  6. Click Create invoice under the Payment data section. For more information, see Creating invoices in sales order, service order, and sales quotation conditions screen.

Keep in mind: The Create invoice button is enabled only if the service order is authorized, unless authorization of service orders is not required.

How do I create payment terms for service orders with different fulfillment dates?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.
  6. Click Invoice schedules under the Payment data section.

Keep in mind: The Invoice schedules button is enabled only if the service order is authorized, unless authorization of service orders is not required.

How do I invoice partial deliveries?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.
  6. Click Invoice partial deliveries under the Payment data section.

Keep in mind: The Invoice partial deliveries button is enabled only if there is more than one payment term, for example, 20% payment within 14 days and 80% payment within 30 days.

How do I undo partial deliveries?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.
  6. Click Undo partial deliveries under the Payment data section.

Keep in mind: The Undo partial deliveries button is enabled only if all the following conditions are present:

  • The sales order consists of more than one payment term.
  • There is only one payment term displayed whereby the invoice has not been generated.
  • The prepayment has not been made for the service order.
  • The service order has not been partially fulfilled.
  • The user has invoicing rights.

How do I define the analytical values for the service order?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.
  6. Click Free fields under the Analytical group section.

How do I view and/or edit the projects for the service order?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.
  6. Click Project. For more information, see Creating and maintaining projects.

Keep in mind:

  • The Project button is enabled only if the General project check box is selected at System à General à Settings, under Order settings in the Entry section.
  • The Project button is available only if you have E-Project included in your license.

How do I transfer service items in the service order?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.
  6. Click Transfer. For more information, see Transferring items in sales order and service order conditions.

Keep in mind: The Transfer button is enabled only if the service order has been authorized, unless authorization of service orders is not required.

How do I reserve the items in the service order?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.
  6. Click Allocate. For more information, see Allocating items in sales order and service order conditions.

How do I generate production orders for the items in the service order?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.
  6. Click Produce. For more information, see Generating production orders in sales orders, service orders, and internal use requests.

Keep in mind:

  • The Produce button is enabled only if the service order has been authorized, unless authorization of service orders is not required, and there must be at least a service item in the service order with the Make attribute. Also, production orders can be generated only for service items with the Make attribute, and only service items with the Make attribute will be displayed in the Generating production orders screen.
  • The Produce button is available only if you have E-Production included in your license.

How do I generate purchase orders for the items in the service order?

  1. In the Service ➔ Entries ➔ Service orders screen, define the search criteria.
  2. Click Search.
  3. Select the required service order.
  4. Click Open.
  5. Click Conditions in the service order header.
  6. Click Purchase. For more information, see Generating purchase orders from sales orders, service orders, production orders, and internal use requests.

Keep in mind:

  • The Purchase button is enabled only if the service order has been authorized, unless authorization of service orders is not required, and there must be at least a service item in the service order with the Buy attribute. Also, purchase orders can be generated only for service items with the Buy attribute, and only service items with the Buy attribute will be displayed in the Generating purchase orders screen.
  • The Purchase button is available only if you have E-Back to Back Order included in your license.
