Creating and maintaining contract templates for Service management

Introduction

Creating service contracts can be time consuming and in most cases, a lot of contracts are similar or even identical. To speed up the process of creating  service contracts, predefined service contract templates have been introduced to minimize entry errors. You can now create multiple templates to be used. When creating a service contract for a customer, just choose the correct template and all the fields will be defined automatically. It is even possible to have agreement lines in the template, so these can also be automatically filled in the new service contract. 

Roles and rights

To view the contract templates, function right 851 - View service contracts is required. Users with the Service desk, Service engineer, Service planner, or Service manager role have this function right.

To edit, delete, or create preventive maintenance types, function right 870 - Maintain service configurations is required. Users with the Service desk, Service engineer, Service planner, or Service manager role have this function right.

What version are you using?

The information in this document is applicable to product update 257 and higher. If you have versions lower than this, certain features explained here will not be applicable.

How do I create a service contract template?

  1. On the Service: Contract templates page, click New.
  2. Define the fields.
  3. Click Save.

Keep in mind: All fields with the “!” icon are mandatory.

How do I edit a service contract template?

  1. On the Service: Contract templates page, select a service contract template under the Code column.
  2. Make the necessary change(s).
  3. Click Save.

How do I add an agreement to a service contract template?

  1. On the Service: Contract templates page, select a service contract template under the Code column.
  2. Click Add under the Agreements section.
  3. Define the fields. For more information, see Creating and maintaining agreements for Service management.
  4. Click Save.

How do I delete a service contract template?

  1. On the Service: Contract templates page, select a service contract template under the Code column.
  2. Click Delete.
  3. A message “Are you sure that you want to delete this record?” will be displayed.
  4. Click OK.

Keep in mind: Alternatively, on the Service: Contract templates page, select the check box corresponding to the service contract template that you want to delete, and then click Delete.

How do I edit the agreement linked to the service contract template?

  1. On the Service: Contract templates page, select a service contract template under the Code column.
  2. Select an agreement under the Description column in the Agreements section.
  3. Make the necessary change(s).
  4. Click Save.

How do I delete the agreement linked to the service contract template?

  1. From the Service: Contract templates page, select a service contract template under the Code column.
  2. Select an agreement under the Description column in the Agreements section.
  3. Click Delete.
  4. A message “Are you sure that you want to delete this record?” will be displayed.
  5. Click OK.
