Customizing Calendar

Introduction

Exact Synergy Enterprise is able to synchronize with Microsoft Outlook whereby selected information can be exchanged and synchronized in the two applications.

This screen allows you to configure the synchronization options between Exact Synergy Enterprise and Microsoft Outlook.

Note: For synchronization to work, the exact.jobs.SysExchange.dll in Exact Synergy Enterprise must be active.

Menu path

Go to Calendar and click on the title bar.

Roles & rights

All users are able to customize their own calendar.

For more details on what you can do with function rights or levels, go to System/Setup/Security/Function rights, select the required module, and then click on the relevant ID. To find out the functions you can perform with a particular role, go to System/Setup/Security/Roles, type in the description, click Refresh, and then click the required link under the Role column.

Button

Save

Click this to save the changes made.

Reset

Click this to reset the options to the default settings.

Close

Click this to exit.

Description

Synchronize: Contacts (MS Exchange) section

Synchronize

Select the Synchronize check box to synchronize contacts in Exact Synergy Enterprise with Microsoft Outlook. This will synchronize Microsoft Outlook contact card details, such as Note, and the Private option, with Exact Synergy Enterprise.

Address: Type

Select Delivery, Postal, Visit, or Invoice to specify the appropriate address type to synchronize.

Direction

This shows the direction of the information being updated. It has been set to Exact Synergy Enterprise -> Exchange and cannot be changed. This means that the latest contact information in Exact Synergy Enterprise will be updated to Microsoft Outlook.

Last update

This displays the time of the last successful synchronization, if available.

Synchronize: Calendar (MS Exchange) section

Synchronize

Select the Synchronize check box to synchronize your calendar appointments in Exact Synergy Enterprise with Microsoft Outlook. This will synchronize Microsoft Outlook appointment details, such as the Subject, Location, Start date, End date, and the Private option, with Exact Synergy Enterprise calendar and an Exact Synergy Enterprise's appointment request details, such as the Subject, Note, Start date, End date, and the Private option, with Microsoft Outlook's calendar.

Security (Requests)

Select Public to allow Exact Synergy Enterprise to create normal appointments.

Select Private to allow Exact Synergy Enterprise to create appointments that only you can view.

Reminders

Select the check box to set a reminder for all synchronized appointments.

Note: When synchronized, this will activate the reminder function in Microsoft Outlook's appointment.

Direction

Select Both to ensure that contacts in Exact Synergy Enterprise and Microsoft Outlook are synchronized.

Select Exact Synergy Enterprise -> Exchange to update Microsoft Outlook based on Exact Synergy Enterprise information.

Select Exchange -> Exact Synergy Enterprise to update Exact Synergy Enterprise based on Microsoft Outlook information.

Last update

This displays the time of the last successful synchronization, if available.

Minutes

Select the time for a reminder to appear before an appointment.

Note: This is available only if Reminders have been selected. When synchronized, this will specify when Microsoft Outlook will trigger the reminder.

View (Include): Private section

All, Manager, Assistant

Select one or more check boxes to specify whether the person is allowed to view the user’s private requests or requests with a higher security level.

Other people are able to see the planned time but cannot view the details of the request.

Show section

Request types: Calendar

Select the check box so that request types with the option Calendar enabled (accessed by Workflow/Setup/Request types, click on any request type followed by the Actions tab and under the Planning section) are shown.

Public holidays

Select the check box so that public holidays are displayed in the calendar.

Request types: Other, Synchronize

Select other relevant request types to be displayed in the calendar. Select the Synchronize check box if you want the corresponding request type to be synchronized with Microsoft Outlook.
