Creating and Maintaining Consolidation Records

Introduction

At this page, you can define the child divisions and the effective year/period to include the child divisions in the financial consolidation process.

Menu path

Go to Financial/Setup/Organization/Divisions or HRM/Setup/Organization/Divisions, display the overview of divisions and click a division to open the division card. Under the Monitor section, click Divisions. Under the Total no. of shares held column, click the total number of  shares held in a linked child division to view the shares transaction records between the shareholder and child division. Under the Consolidation section, click New to create a new consolidation record for the child division or click the effective year/period link under the Effective from: Year / Period column to edit the consolidation record.

Roles & rights

To define the child divisions to be included in the financial consolidation process, function right 62Maintain subsidiaries and shareholders is required. Users with the General manager and Controller roles have this function right.

For more details on what you can do with function rights or levels, go to System/Setup/Security/Function rights, select the required module, and then click on the relevant ID. To find out the functions you can perform with a particular role, go to System/Setup/Security/Roles, type in the description, click Refresh, and then click the required link under the Role column.

Button

Save

Click this to save the consolidation record.

Delete

Click this to delete an existing consolidation record.

Note: This button is available only if you open the last existing consolidation record. Hence, if you have only one existing consolidation record, you will see this button.

Close

Click this to exit.

Description

Shareholder

This displays the shareholder. You can click the division link to view the division card of the shareholder.

Division

This displays the linked child division. You can click the link to view the division card of the child division.

Include

Select this check box to include the child division in the financial consolidation. If you are creating a new consolidation record, by default this check box is selected.

Effective from: Year / Period

Select the effective year to define when you want to include the child division in the financial consolidation process. By default, the effective years available for selection are the financial years you have generated for the shareholder in the system. Next, type the effective period for the child division to be included in the financial consolidation.

Note: For the first consolidation record you are creating, the effective year/period for a child division to be included in the financial consolidation will be based on the share purchase transaction date. For example, if the shareholder purchases shares of a division on 01-09-2007, by default, the effective year will show “2007” and the effective period will show “9”. The effective year/period for the first consolidation setting record cannot be earlier than the first share purchase transaction date.

To: Year / Period

Select the end year for the child division to be included in the financial consolidation process and type the end period for the child division to be included in the financial consolidation process. You can leave the fields blank to include the child division in the financial consolidation process for as long as you want, and will only enter an end year/period when your business requires so.

Note: For each subsequent new consolidation record you are creating, you need to fill in an end year/period for the previous consolidation record.

Method

Select Full to use the full consolidation method when you include the child division in the financial consolidation process or Proportional to use the proportional consolidation method when you include the child division in the financial consolidation process. By default, the full integration method will be used when you select the Include check box to include the child division in the financial consolidation process.
