Opening and Closing Financial Period

Introduction

It is possible to close or reopen periods for the division selected and the mapped period(s) of its subsidiaries if there is any.

Menu path

Go to Financial/Setup/General/Financial years / Periods, and then click Show. Next, click a financial year and then a period.

Roles & rights

To open and close financial years/periods, function right 228 – Allows to close/open years/periods is required. Users with the General manager and Controller roles have this function right.

For more details on what you can do with function rights or levels, go to System/Setup/Security/Function rights, select the required module, and then click on the relevant ID. To find out the functions you can perform with a particular role, go to System/Setup/Security/Roles, type in the description, click Refresh and then click the required link under the Role column.

Close (Period)

Click this to close the period for the selected division.

Reopen (Period)

Click this to open the period for the selected division.

Close

Click this to exit.

Description

Criteria section

Status

Select the status of the results you want to display. You can choose Open to display only divisions with an open period or Close to display only divisions with a closed period. If you leave this field blank, divisions with both open and closed periods will be displayed.

Results section

Four columns are displayed:

  • Check box – This displays the check box for each division. Select the check box of a division and click Close (Period) to close the period or Reopen (Period) to open the period for the respective division. 
  • Division – This displays the code of each division. 
  • Description – This displays the name of each division. 
  • Status: Open – This displays the status of the period for each division. A green check mark means an open period and a red cross means a closed period.

Note: If the division selected is a reporting entity, it will be listed first in the Results section, followed by its subsidiaries. If the division selected is not a reporting entity, only the division will be displayed.

If there is more than one period from a division mapped to the reporting entity’s period, the system will display the division’s mapped periods as open if there is at least one open mapped period.
