Overview of Balance Sheet and Profit & Loss Statement
Introduction
You can view the balance sheet or profit & loss reports of your company accounts.
Note: The functionality to generate offset opening and closing entries for balance sheet general ledger accounts is implemented for Exact Globe, for more details, see Closing and Opening Entries for Balance Sheet G/L Accounts. These financial entries will not be imported when importing the Exact Globe financial data via XML import functionality.

Roles & rights
To display the balance sheet, function right 135 – View ledger on screen is required. Users with the General Manager and Controller roles have this function right.
For more details on what you can do with function rights or levels, go to System/Setup/Security/Function rights, select the required module, and then click on the relevant ID. To find out the functions you can perform with a particular role, go to System/Setup/Security/Roles, type in the description, click Refresh and then click the required link under the Role column.
Button
Show
Click this to display the result according to the defined criteria.
Note: Once you have clicked this button, the name of the button will change to Refresh.
Refresh
Click this to update the result according to the defined criteria.
Reset
Click this to clear all defined criteria so that you can start a new search.
G/L: Corporate/G/L: Division
Click this to display the report based on the defined criteria. This is available only if Division is selected at Division and you click the icon and select a division of the company.
Note: Several division GLs can be linked to one corporate GL.
Close
Click this to exit.
Description
Criteria section
Layout / Show
Select the layout type to display the report. You can choose from Balance or Period balance sheet.
At Show, select the report you want to display. You can choose from Balance sheet or P&L. If you do not select any, both the Balance sheet and P&L will be displayed.
Division
Select the division to display the report. Then, click the icon to select the corresponding information for the different divisions. For more information, see Creating Division.
Type
Select Standard or Fiscal to determine the type of transaction that you want to display. Leave this option blank if you wish to display both transaction types.
Cur./XRate/Factor
At Cur., select a currency linked to the report. For more information, see Modifying Currency.
At XRate, select the type of exchange rate for the currency linked to the report. You can choose from External or Internal/Budget.
At Factor, select the available currency factor for the system to display the report based on the factor selected. You can choose from 1, 100, 1000 or 1,000,000.
Show: Periods
Select this check box to display the report for each period (month), in addition to the yearly report. If the check box is not selected, only the yearly report will be displayed.
Cost center
Select a subgroup to display the report.
When Division is selected at Division, there will be an extra value called Cost center in this Cost center list box. If you select Cost center, the Cost center range and Cost unit range will be displayed. For more information, see Creating and Modifying Subgroups.
Cost center
Select a cost center or range of cost centers to display the report. This is available only if Cost center is selected at Cost center. For more information, see Creating and Modifying Cost Center.
Cost unit
Select a cost unit or range of cost units to display the report. This is available only if Cost center is selected at Cost center. For more information, see Creating and Modifying Cost Unit.
Item
Select Item or Assortment to display the report. For more information, see Creating and Modifying Items and Creating and Modifying Assortments.
Item
Select an item or range of items to display the report. This is only available if Item is selected at Item.
Assortment: Properties
Select the information you want to display. For more information, see Creating and modifying Assortment Properties.
Data section
Data / Scenario
Select the type of data to be displayed. You can choose from Actual, Budget, or Forecast.
At Scenario, select the type of budget scenario to display the data. This is enabled only if you select Budget or Forecast at Data. For more information, see Creating Budget Scenario.
Year / Period or Year / Period (Actual + Budget)
Select the year for which you want the data displayed. For more information, see Creating Financial Year.
At Period, type the period (1-12) of the year for which you want the data displayed. If Forecast is selected at Data, the period will be for (Actual + Budget). For example, if you type “1” and “6” in the Actual boxes respectively, the first Budget box will be filled in automatically with “7”. Then, type the end period in the second Budget box (for example “12”). This means that the actual data will be from the period 1-6 and the budget data will be from the period 7-12.
Range
Select Date or Reporting date to display the report.
Note: This is available only if Actual is selected at Data.
Budget Exchange rates
Select this to display the budgeted exchange rates.
Note: This is displayed only when you select a budget scenario at Scenario. The available exchange rate is displayed if you have defined the budget exchange rates. For more information, see Modifying Currency. At the same time, you also have to make sure that the budget scenario is created and the budgets are allocated accordingly. For more information, see Creating Budget Scenario and Creating Budget Entries.
Compare with section
Data / Scenario
Select the type of data you want to compare with. You can choose from Actual, Budget, or Forecast.
At Scenario, select the type of budget scenario. This is enabled only if you select Budget or Forecast at Data. For more information, see Creating Budget Scenario.
Year / Period or Year / Period (Actual + Budget)
Select the year for which you want the data compared with. For more information, see Creating Financial Year.
At Period, type the period (1-12) of the year for which you want the data compared with. If Forecast is selected at Data, the period will be for (Actual + Budget). For example, if you type “1” and “6” in the Actual boxes respectively, the first Budget box will be filled in automatically with “7”. Then, type the end period in the second Budget box (for example “12”). This means that the actual data will be from the period 1-6 and the budget data will be from the period 7-12.
Range
Select Date or Reporting date to display the report.
Note: This is available only if Actual is selected at Data.
Budget Exchange rates
Select this to display the budgeted exchange rates.
Note: This is displayed only when you select a budget scenario at Scenario. The available exchange rate is displayed if you have defined the budget exchange rates. For more information, see Modifying Currency. At the same time, you also have to make sure that the budget scenario is created and the budgets are allocated accordingly. Customize
Click at the title bar to customize the fields or sections. You can add or remove existing criteria based on your preferences by selecting or clearing the relevant check boxes. Click Save to save the settings, Default to display default selections, or Close to exit without saving. Take note of the following sections/fields:
Categories
The number of categories displayed is based on the categories that you have activated at Finance/Setup/Master data/Categories. Select the categories you want. The report will be displayed according to the categories selected.
Columns
Select the check boxes or criteria that you want. These will then be incorporated in the columns of the report displayed.
